SharePoint

SharePoint news for email

With the new integration of SharePoint News into Outlook, news authors can preview and send full news posts as emails to their reader’s inbox. To help authors get started, Microsoft also adding six templates in Outlook and SharePoint. With the unified page analytics, authors will be able to see their total page reads across outlook and SharePoint as one number.

New site theme options

Microsoft are adding two new SharePoint themes to our Change the Look menu. The addition of Black and Cerulean (a blueish steel color) will enhance your site customization options, providing additional theme colors for the base of your SharePoint sites.

SharePoint page authoring accessibility improvements

In SharePoint, Microsoft has improved the Page authoring experience by allowing users to mark images as decorative. Additionally, they have reserved the heading level 1 exclusively for the page title in the title area. Users can still add headings to their pages at levels 2-4 using web parts. These changes make it easier for screen reader users to understand the structure of a page. To ensure proper communication of heading levels to screen readers, it is recommended to choose a heading style from the text style dropdown menu instead of simply visually styling the text.

Restricted Access Control for SharePoint/ OneDrive

A new advanced capability has been introduced for SharePoint admins to restrict SharePoint and OneDrive sites to specified users. With this feature, SharePoint admins can restrict site access to specified users using Microsoft 365 groups or AAD security groups – now Microsoft Entra ID groups. Users not added in the specified group(s) will not be able to access the site even if they were previously granted site access.

Colors for Folders

This feature allows users to colorize their folders in SharePoint and OneDrive with a pre-set range of 16 colors — applicable to both new and existing folders. And by default, the color picker chooses yellow for ease of creation, which can be changed to any of the other colors by the user at any time.

Browse files by Meetings & People in OneDrive

Two new views are coming to OneDrive – Meetings & People. With the Meetings view, you’ll first see any meetings in the next week that you might need to prepare for, followed by a list of meetings that have already occurred. 

The People view presents the people you have recently collaborated with, along with all the files that have been shared with you by each person. And you can pin your favorite people whose sharing you like and use most.

SharePoint page sharing update

Now you can share SharePoint pages and news posts individually without having to share the entire site, just like you can with other Microsoft 365 files in a document library. All sharing settings at the site and tenant level will be respected. Only the page and items uploaded to the page, like images on the page, will be shared. Other linked content in the page like embedded documents or lists will have to be appropriately shared before adding to the page.

Microsoft Viva

In Viva: Announcements in Viva Connections, new video/ image experiences in Viva Engage, Viva Insights updates

Announcements in Viva Connections

Announcements allows you to create and share time-sensitive messages in Viva Connections. You can set up, manage, and schedule announcements from your organization’s SharePoint home site or the Viva Connections app in Teams desktop. You’ll get notified of new announcements through the Viva Connections app — on desktop, mobile and tablet.

New experiences for video and images in Viva Engage

The Viva team have announced some new experiences for video and images in Viva Engage. These innovations reflect both the growing importance of media to our customers, and the feedback from our public preview of a feature we called “Stories”.

It’s now even easier for everyone to add videos and images to their posts by adding dedicated buttons. Instead of a separate carousel, all videos and images will now appear in the existing feeds. Also, posts with videos or images as the main focus will have a captivating layout and immersive viewer.

Later this year, Viva Engage will introduce new features for videos and images. These enhancements will include showcasing media in the feed, post preview, and an immersive player with navigation to other media.

Viva Insights update

The Viva team added some new features/ updates to Viva Insights throughout July/ August 2023, here is a summary:

  • BetterUp integration – You’ll soon get BetterUp content integrated into digest emails and the Viva Insights app in Teams and on the web. By providing stories about how wellbeing and productivity go hand-in-hand, qualified Viva Insights users can access world-class coaching content and drive wellbeing and performance in the workplace.  
  • Meeting effectiveness report – updated insight names  – Updated insight naming in the Meeting effectiveness report template. While the report hasn’t changed any conclusions it draws from data, insight names now look a bit more actionable and intuitive.
  • Onboarding and development report – generally available – Now generally available, this report focuses on the critical phase of new-hire integration and development of those who’ve landed new roles.
  • Impact explorer report – generally available – This report helps leaders identify areas to enhance productivity and engagement and explore how taking action related to those areas might impact their organizations.
  • Viva Insights with Glint report – private preview  – This report connects sentiment data from Glint and collaboration data from Viva Insights. With this report, you can find out which behaviors drive certain sentiment outcomes, then take action to improve employee sentiment and behavioral metrics.   
  • Viva Insights Automated organizational data import – private preview – These features import organizational data from HCM data sources to the advanced insights app and allow that data to refresh periodically.

Animated Backgrounds

The dynamic background feature in Teams Meetings allows you to replace their existing background with a dynamic animation for a more immersive virtual environment. It offers various options to enhance meeting experience with creativity and personalization according to their preferences.

Join public webinars with three concurrent devices

Attendees registering for an external facing webinar will receive a unique registration join link and can use that link to join the event with up to three concurrent devices.

Updates to the chat message hover menu

In the chat, you can now easily reply to a message by hovering over it and clicking the reply button. You can also edit your sent messages by clicking on the edit icon. It’s now quicker and more intuitive to communicate with others.

Compact chat enhancements

You can enhance your productivity by using compact mode in the chat pane. It customizes the chat layout with time stamps, extra line breaks, and message indicators. Compact mode also includes a compact chat list, allowing you to view more chats at once.

Task lists sync in Microsoft Loop

Stay organized by keeping track of important actions with task syncing in Microsoft Loop. Tasks added to task lists in Microsoft Loop components will now be accessible in Microsoft Planner and To Do. Simply edit your task list component in Outlook or Teams and your changes will appear across apps, helping you stay on top of your tasks no matter which app you’re in.

Simplified call delegation UI and feature enhancements

The Calls app and Teams phone devices now have a simpler interface for call delegation. Delegates can easily switch between tabs to see call records for themselves and their delegators. Delegators can also view and join active calls handled by delegates and give them permission to join active calls.

Hotline phones

Microsoft Teams Phone devices can now be programmed to quickly dial specific phone numbers or contacts, such as emergency services or help desks. Users can simply pick up the handset of the Teams phone and it will automatically call the designated number or contact. Phones enabled with a Teams Shared Device License can be configured directly through the device settings or from the Teams admin center.

Teams Phone devices UI updates

Microsoft have made improvements to the Teams phone devices, making it easier to dial numbers accurately. The dial pad has been redesigned, and a new “dial pad only” view has been introduced in landscape mode. We have also made updates to the meeting experience and navigation, allowing for faster joining of meetings and simpler navigation between applications on your device.

Teams Shared Device license on Teams mobile app for Android

Shared Device license is now available on Teams mobile app for Android. This allows Android phones to be set up as common area phones. Frontline workers can make and receive calls on shared Android phones. All features supported for common area phones are available through the Teams Android app.

Protected voicemail notifications

You will now receive notifications in Teams when they have received a protected voicemail, ensuring that these important communications are not missed. The intended, authenticated voicemail recipient will be able to view the notification from the Calls app in Teams and click on a link to open the voicemail in the Outlook web app.

Dynamic emergency calling available in Teams on web

For users based in the United States, dynamic emergency calling is now supported when using Teams on web, allowing for users to add their locations to alert personnel in the event of an emergency.

Teams Rooms and Devices

Here are the latest updates and enhancements for Teams Rooms and Devices:

  • Video gallery segmentation with unified backgrounds for Teams Rooms on Windows – Improvements to the Front Row experience for Teams Rooms on Windows uses Microsoft AI to remove individual backgrounds, adjust video participant size, and apply a unified background design so remote participants appear as if they are in the same room.   • Spatial audio in Teams Rooms on Windows speakers – Spatial audio brings next-generation spatialized audio to Teams Rooms that have stereo speakers Certified for Teams with right and left capabilities. This intelligent audio technology makes the meeting experience more natural because remote attendees’ voices come from the direction their frame is oriented on the room display.   • Multi-stream IntelliFrame Intelligent Camera experiences in Teams Rooms and the new devices that enable them – Multi-stream IntelliFrame enhances meeting room cameras with advanced features to improve the experience for all participants. It allows multiple video streams to be processed simultaneously, offering individual frames for in-room participants, face recognition, active speaker recognition, and panoramic views from different cameras.   • Cloud IntelliFrame video processing for Teams Rooms on Windows cameras – Cloud IntelliFrame helps to make all of your cameras smarter, not just Intelligent Cameras. With Cloud IntelliFrame, participants gathered together in physical spaces are each given individual frames in the video gallery, just like remote attendees, creating an immersive and engaging experience for everyone. This feature is available only with the Microsoft Teams Rooms Pro license. Learn more about Cloud IntelliFrame.
  • Face enrollment on Teams Desktop to support recognition in Teams Rooms – With IntelliFrame, you can have your face and voice recognized during meetings. This means that your name will be displayed on your video frame and in the chat transcript. It also allows your contributions to be attributed to your alias. To use this feature, simply create a face and voice recognition profile in the Teams desktop client. Please note that this feature is available for Microsoft Teams Rooms Pro users. Admins can enable it by adjusting Teams policies. Learn more about voice and face recognition in Teams Rooms.
  • Scan a QR code on Teams Panels to quickly reserve a room – You can now easily book a meeting room by scanning a QR code with your mobile device. This feature saves you time and simplifies the process of scheduling a meeting. Just scan the QR code and you can either schedule a new meeting with the room already selected or view the room’s availability and book it instantly. To use this feature, make sure you have the latest Teams mobile app on your Android or iOS device.

Teams management

These features are currently available in the Teams admin center, or for IT administrators:

  • New remote management setting for Teams Panels in the Teams Admin Center – Admins are now able to remotely control the ability for users to book an ad-hoc meeting, using the ‘Reserve’ button on the panel¹ through the room reservation setting on Teams Admin Center.
  • Proactive monitoring of meeting quality using Real-time telemetry (Premium) – Managers will be able to selectively notify only the relevant team members about assigned shifts and/or open shifts. This feature reduces unnecessary notifications and ensures that notifications are received by the intended employees, rather than all team members. Notifications now provide more comprehensive details, including the shift date, time, and location.
  • Pre-pin meeting apps via Admin Policy in Teams Admin Center – Admins will now be able to pre-pin meetings apps (much like personal apps and messaging extensions) in Teams Admin Center.
  • Graph API for Teams Meetings Transcripts – Microsoft Graph API to access Teams Meetings transcript once the meeting is over.

Education

These features currently available to Microsoft’s Education customers:

  • Teams Assignments – Grading Period – Support for Grading Period for a class allows to divide the assignment grading into semesters or other periods that fit the schedule of the class.
  • Alternative Grading Schemes in Teams Assignments – Teams for Education is revamping its grading experience with grading improvements including weighted grading categories and showing average grades to students. These features will make the Grades experience in Teams more streamlined and accurate for educators and students alike. Weighted grading categories allow educators to assign percentage weights to different types of assignments and can also be turned on in Grade settings. If a class is using grading categories, average grades will be calculated by multiplying the average score in each category by that category’s weight.
  • Parent Connection – Announcements – The Announcements feature allows teachers to post an announcement (similar to a channel post experience). Once the announcement is composed by the teacher, it will be broadcast to the parents of entire class as 1-1 threads created for each student (parent teacher chats for each student in the class).

Government

These features currently available to Microsoft’s commercial customers in multi-tenant cloud environments are now rolling out to our customers in US Government Community Cloud (GCC), US Government Community Cloud High (GCC-High), and/or United States Department of Defense (DoD):

Frontline workers/ Vertical solutions

These features currently available to Microsoft’s frontline worker customers and vertical solutions:

  • Shifts: Notifications improvements – Managers will be able to selectively notify only the relevant team members about assigned shifts and/or open shifts. This feature reduces unnecessary notifications and ensures that notifications are received by the intended employees, rather than all team members. Notifications now provide more comprehensive details, including the shift date, time, and location. Learn more here.
  • Shifts notification deep link improvements – Clicking on notifications now seamlessly redirects managers and employees to the relevant pages within Shifts.
  • Deploy Teams at Scale for frontline with dynamic teams – Deploy teams at scale for your frontline workers using dynamic teams in the Teams Admin Center. Dynamic teams will automate member management to ensure your teams are always up to date.
  • [Walkie Talkie] AutoConnect to channel – Allow users to automatically join the last connected channel, default single channel, or the channel set by the user.

Power Apps

In Power Apps: Updated tables page experience, copilot for model-driven apps, secure implicitly shared connections, custom connectors in solutions/ environment variable secrets GA, copilot deployment notes for pipelines, monitor for model-driven apps, model-driven app monthly release

A new ways of creating tables

The Power Apps team have annouced the updated tables page experience, which is now generally available for all makers. With the new tables page experience, you will be able to create tables with the versatile options we recently introduced to the new home page, including conversation-based table creation and one-click table upload from your Excel file, both powered by Copilot.

Copilot updates for canvas/ model-driven apps

The Power Apps team have announced the availability of Copilot for users of model-driven apps and a major expansion of Copilot control’s capabilities in canvas apps. Now, all Power Apps can be intelligent apps. Makers can easily build apps to boost productivity for users, powered by next-generation AI in an intuitive experience.

For canvas apps, the Power Apps team have announced that now when you connect the Copilot control to Dataverse, you can ask questions about really large tables with no size limits.

Secure implicitly shared connections (Preview)

The Power Apps team has introduced a new feature called “secure implicitly shared connections.” This feature is now available in preview for all commercial regions. It allows users to use fixed credentials, like a SQL Server connection string, instead of their own specific credentials. This feature is especially useful for connecting to SQL Server databases.

With this preview release authors now get a message in the App if there is an implicitly shared connection that needs attention.

Custom Connectors in Solutions / Environment Variable Secrets General Availability

The Power Apps team have announced General Availability (GA) of custom connectors in solutions, environment variable secrets using Azure Key Vault secrets and connector activity logs. These first two advancements empower you to extend the capabilities of the Power Platform and enhance your application lifecycle management (ALM) processes. The activity logging feature now allows you to view events related to connections and custom connectors. The activity logging feature now allows you to view events related to connections and custom connectors.

Power Apps home page now generally available

The new Power Apps home page is now generally available for all users. The new home page features a modern design that offers an intuitive and user-friendly experience. The new layout showcases the latest AI Copilot app creation flow, plus simplified “Start from” options, making it easier than ever for you to start creating apps to solve your business needs.

Deployment notes for pipelines powered by Copilot (Preview)

The Power Apps team have announced the Public Preview of Copilot-generated deployment notes for pipelines in Power Platform. Copilot comes to the pipelines deployment experience to help makers generate useful solution descriptions with AI, saving valuable time and providing accurate information in seconds.

Monitor for model-driven apps

Recently Monitor for model-driven apps was temporarily disabled due to issues. The Power Apps team have now announced Monitor is now back up and running. With Monitor, you can now use the Collaborative debugging feature to model-driven apps where it was previously only available for canvas apps. Now you can invite users to join a monitoring session by clicking “Invite” and monitor another user’s model-driven app session in a secure channel by clicking “Connect user”. Your data stays isolated between the user and the monitor owner(s).

Model-driven app August 2023 monthly release

In this month’s release, model-driven apps have added the modern app side pane tabs and modern multi-session tabs. This builds on the experience outlined in modern, refreshed look. We also changed the parameter for testing channel upcoming channels to use a simpler format.

Power Automate

In Power Automate: Copilot in process mining, telemetry data integrated with Azure Application Insights, Power Automate desktop update

Process Mining became generally available on August 1, 2023. Now, Microsoft have announced the availability of new Copilot capabilities in Power Automate Process Mining (in limited preview—US only). You can try it for free with a Power Automate trial license.

Its now easier to gain valuable insights with Copilot in Power Automate Process Mining. Discover processes and analyze data quickly with Copilot’s interactive features. It suggests automations and optimizations based on your goals, helping you find solutions faster.

Integration of Power Automate telemetry data with Azure Application Insights (Preview)

Microsoft have announced the public preview of integration of cloud flow telemetry data with Azure Application Insights.  With this new capability, administrators can connect their Microsoft Power Platform environment to an Azure Application Insights instance for advanced diagnostic and monitoring of their automations.

Now you can use Azure’s application performance monitoring (APM) features on Microsoft Power Automate. You can easily analyze and monitor your workflows in the cloud using Application Insights. This includes metrics dashboards, alerts, performance diagnostics, and log analytics.

Power Automate desktop update August 2023

Power Automate for desktop (version 2.35) has been released, here is a summary of the new features & updates:

  • A new logging action is now available – The premium action Log message has been introduced under the new Logging group of actions, allowing users to log their own custom text messages with a specified log level in the flow run logs.
  • A new setting to disable uploading error screenshots – A new setting is now available in the properties of each flow in the console, allowing users to disable the default behavior of adding a screenshot to the flow run action logs in the portal, in case of an error. This feature is only available if v2 schema is enabled.
  • Editing primitive variable values during debugging now supported – The values of Text, Numeric and Boolean variables can now be edited during debugging through the variable value window, when the flow is paused, so that users can perform tests and debug using their own values for these variable types.
  • Referencing Excel cells by name is now available in the respective Excel actions – Read, select cells, activate cell and write to Excel worksheet will now have the additional ability to reference Excel cells by name.
A new logging action is now available in Power Automate desktop.

Changes to Excel workbook support in Power BI workspaces

The Power BI team have announced the deprecation of the following features for Excel workbooks in Power BI workspaces:

The August 2023 on-premises data gateway release (version 3000.186.14) is out now. This update brings the on-premises data gateway up to date with the August 2023 release of Power BI Desktop.

New ways to create connected tables in Excel connected to Power BI

The Power BI team have announced new capabilities that make it easier for users to add Power BI data to their Excel workbooks:

  • Insert a Connected Table without leaving Excel – a new Insert Table option is rolling out for the Power BI Datasets pane in Excel. It enables users to create a connected table directly in Excel. This streamlines the workflow of adding data and is friendlier to more Excel users. 
  • Create a connect workbook from the OneLake Data Hub – Also rolling out, is a new Export with live connection (.xlsx) option for the OneLake Data Hub experiences. This creates a connected Excel workbook that shows a Connected Table just like we showed above, or with the Export to Excel capability when viewing an interactive reports.

Automatic scaling for dataset scale-out (Preview)

The Power BI team have announced that Dataset scale-out is no longer limited to a single read-only replica per dataset. Dataset scale-out allows you to create copies of your data that can handle multiple queries at once. These copies are read-only, meaning they can’t be changed. By having multiple copies, you can reduce the time it takes to run queries and handle more users. It’s great for situations where you have a lot of people accessing your data or running complex queries.

Improving the communication performance of XMLA-based tools

The Power BI team have announced some significant performance improvements to the XMLA-endpoint communication in Power BI. Specifically, we have switched XMLA-based communication from plain text XML to binary XML and enabled compression for the .NET client libraries. Make sure you upgrade to version 19.65.12.0 or later.

Dynamic subscriptions for paginated reports (Preview)

The Power BI team have announced a brand new feature for paginated reports available in Preview – dynamic per recipient subscriptions! This addition is designed to make it easy to distribute a personalized copy of a report to each recipient of an email subscription.

Launch item from the Power BI mobile app

The Launch Item feature allows you to configure an item to display whenever you launch your mobile app instead of the home page. This is useful if you have specific content that you always go to when you open your app, and you want to save time by being taken directly to that content rather than having to navigate to it every time.

A launch item can be a report, a specific report page, a dashboard, a scorecard, an organizational app, or even a specific item within an organizational app.

The new sensitivity bar in Power BI and Fabric allows users to conveniently apply sensitivity labels to reports, datasets, and other Power BI items alongside new Fabric items such as Lakehouses, Warehouses, KQL databases, Notebooks, and more, ensuring that important and sensitive data can be easily labeled with sensitivity labels to achieve compliance with regulations and requirements.

The sensitivity bar in Power BI and Fabric is designed to be similar to the Office experience. It uses the same labels, policies, colors, and encryption icons as Office files. This makes it easy and familiar for users to apply and manage sensitivity labels.

Admin Digest

This section covers the highlights from the month’s admin digest blog:

  • Bing Chat Enterprise now default on – Bing Chat Enterprise is generally available and on by default for users with Microsoft E3, E5, Business Standard, and Business Premium licenses. It is turned off by default for Microsoft 365 A3 and A5 for faculty users but will be turned on by default later this fall.  Find out more.
  • Add internal links to policies in Viva Pulse  – Soon, global admins or Viva Pulse admins can add links to internal policies in the general disclaimer when customizing surveys. This helps users find your specific internal policies explaining survey governance. Admins can configure this from the Microsoft 365 admin center in the Viva Pulse admin experience.  
  • Collaborate more seamless in Microsoft Teams in multi-tenant organizations  – New features are being rolled out in Teams that will make collaboration more seamless across multi-tenant organizations. Users can search for coworkers in another tenant, have a single chat thread with other users, receive real-time notifications, join meetings and calls in another tenant, and multitask from their home tenant.   • Migrate DLP-related Exchange Transport Rules (ETRs)  – Following this announcement, support for Data Loss Prevention (DLP) rules within Exchange Online ETRs has been discontinued. Admins should re-validate any existing legacy DLP rules, and either consolidate or migrate them to the compliance portal if not done so already.
