
The Microsoft 365 monthly update includes updates and recently recent features across Microsoft 365. The free version includes updates to SharePoint, Teams and OneDrive, whilst subscribers get all of the updates, plus Power Platform, Copilot and more.

SharePoint
SharePoint eSignature in Word
SharePoint’s eSignature service is now integrated with Microsoft Word, enabling users to request electronic signatures directly from Word documents. Key features include:
- Seamless Word integration: Insert signature fields into Word documents and request signatures directly from the Word interface.
- Automatic PDF creation & storage: Recipients sign an automatically generated PDF copy of the Word document, saved in the same SharePoint location.
- Word documents as eSignature templates: Reuse Word files as eSignature templates to streamline signing processes.
- Integrated audit trail and notifications: Built-in tracking with email notifications for senders and signers, along with an activity history in the signed PDF.
- Security and compliance controls: Administrators can manage eSignature use through Office group policies and log activities in the Purview Audit log.

New FAQ web part
Microsoft have announcement the launch of the new FAQ web part in SharePoint, powered by Copilot, which allows users to create structured FAQs from existing content with ease. Users can upload files, select a purpose, and let Copilot generate relevant questions and answers while maintaining control through a three-step builder. This feature aims to save time, reduce repetitive inquiries, and improve knowledge sharing within the organization. It is designed for clarity and consistency, supports viewer feedback, and will receive future enhancements. The rollout is in progress and will be completed by the end of July 2025.

New template gallery
Microsoft have announced the availability of Modern Page Templates in SharePoint, featuring a centralized Template Gallery with a variety of templates to facilitate the creation of professional pages. This rollout enhances content creation in SharePoint by making templates more accessible from various entry points. Future improvements include tenant-wide custom templates and Copilot-powered templates.

Estimated read time for News posts
A new estimated read time feature is being added to News posts, starting in June 2025. This feature will be available on the web and Microsoft Viva Connections app in Teams. It will be on by default, with an option for authors to toggle it on or off. No admin action is required.

Autofill and document translation for improved processing visibility for content AI models
Microsoft are introducing a new activity pane in SharePoint designed to enhance visibility into Content AI model processing, previously known as Microsoft Syntex. This update provides real-time insights into document translation and autofill operations, helping users monitor progress, troubleshoot issues, and understand outcomes more effectively. The new pane offers a modern, consistent, and actionable interface for monitoring Content AI activities, replacing the legacy “Processing status” column. Key capabilities include real-time status tracking, detailed processing outcomes, error transparency, and filtering and history options.

Lists: Mobile apps for iOS and Android will retire
Microsoft will retire the Android and iOS apps for Microsoft Lists, recommending users switch to the mobile browser experience, which offers enhanced functionality and updates. Users will not be able to install or use the apps after retirement, but their data will remain accessible via Microsoft Lists for Windows desktop or mobile browser. To access Lists on mobile, users should visit their SharePoint root site and navigate to the Microsoft Suite icon; if Lists isn’t visible, they can select More apps to find it.
Key dates
- Late June 2025: An information banner will display in the app to inform users about the upcoming retirement of the app and recommend they switch to the mobile web experience.
- Mid-September 2025: New users will not be able to install the mobile apps.
- Mid-November 2025: The app will no longer be visible for new users to download from the Apple App Store or Google Play. Existing app users will get an error when opening the app.

Teams
Usability and privacy improvements for live captions and transcripts in meetings
Microsoft have made several usability enhancements for live captions and transcripts in Microsoft Teams to improve user experience and privacy. Live captions are now scrollable, and copying text from them is disabled by default to protect sensitive information. The Live transcript panel won’t auto-open for the user starting recording, giving users more control over their meeting experience. Additionally, if users try to open the Live transcript panel while transcription is enabled, they will see a banner recommending live captions, enhancing comprehension and clarity during meetings.

Enhanced agent experience in Chats and Channels in Teams
Some Teams users will experience a new way to engage with agents in Chats and Channels, available to a randomized subset for data collection before a wider release. Previously, selecting the people roster icon opened a pop-up with agents and bots; now, it will launch an Agents and bots panel on the right side, allowing users to select without disrupting their view. This change addresses feedback regarding the obstructive nature of the current experience that interrupts user flow, and users can still add apps using the + sign during this experiment.

Enhanced spell check with multi-language support
Enhanced spell check will help ensure that your messages are clear and professional. When you type your message in the Teams compose box, any issues found will be marked. You can then choose to correct them from options suggested in a dropdown menu, ignore them, or add them to the dictionary. You can add up to three languages to your language list, enabling spellchecking in each of the languages.
Opening calls in a small window
For a less disruptive experience, Teams Phone lets users answer and open calls in a compact, resizable call monitor instead of the full call stage. It’s perfect for multitasking and keeping the conversation visible while freeing up screen space to stay productive.

Sign language mode in Teams meetings
Teams is introducing Sign Language Mode to enhance meeting experiences for Deaf and hard-of-hearing participants. This feature will identify and visually distinguish interpreters, elevate sign language users to active speaker status, and ensure equal prominence with audio participants. Rollout begins in July 2025 for desktop and web platforms.

Interactive agents for meetings and calls
Teams is introducing interactive agents for meetings and 1-on-1 calls, allowing users to engage with agents privately or in groups with zero-state prompts and history support. This feature, requiring a Microsoft 365 Copilot license, will be available by default for Teams on Windows, Mac, and web. The rollout begins in June 2025.

New audit logs for Give control, Take control, and Screensharing
Admins will soon access detailed audit logs for Give control, Take control, and screensharing in Microsoft Teams, including names and timestamps. This feature, available across various platforms except in town-halls, webinars, and Teams for iOS/Android, will roll out in July 2025 and can be configured in the Microsoft Purview portal.

Countdown timer for Teams Meetings
Teams is introducing a countdown timer feature for meetings, allowing participants to set timers up to 100 minutes to manage time effectively. Rolling out from mid-June to late July 2025, the timer includes visual and audio alerts, color changes, and continues counting negatively after zero. Available only in scheduled meetings.

New file attachment feature in external 1:1 and group chats
Microsoft is adding a new feature to Teams that lets users attach files in chats with external users, improving collaboration. When enabled by admins, the Attach file option will appear in the chat compose box, allowing users to share files with external partners.

CVI capabilities for non-Teams users to join town hall
Presenters can now use their own (non-Teams Rooms) video conferencing devices (VTC) to effortlessly join and present in a Teams Town hall. Organizers will see the Cloud Video Interoperability (CVI) join codes integrated in the Town hall share event dialog, which can be shared with presenters. Using these join codes, the trusted CVI device will join as an attendee and then will be promoted to a presenter. Presenters on trusted CVI devices can interact with others in the green room before the event starts, ensuring a smooth and inclusive experience.

Specify who can manage the screen in town halls
A new option in Teams Town hall lets organizers designate who can manage the screen shown to attendees during the event. Similar to Teams Live Events, selected individuals will be able to start the event, manage what attendees see, and end the event, helping to ensure a more cohesive event experience. The different options that can be selected are “Organizer, co-organizers, and presenters”, “Organizer and co-organizer only” and “Specific people”. This feature is for town hall only.

Users can join Teams Town hall and Webinar using PSTN codes
Organizers, presenters, and attendees can now join town halls and webinars seamlessly using a Public Switched Telephone Network (PSTN) code provided in the invite. Once connected, they will automatically be directed to either the green room or the live session, ensuring a smooth and efficient experience.

Town hall dial in-details in shared event dialog
Organizers and presenters can join a town hall using dial-in details provided in the event dialog, connecting via phone lines or Microsoft Teams Rooms. Presenters start as attendees and are later promoted to access the green room or live session.

Add a presenter from the participant roster in a town hall or webinar
Organizers can add a presenter from the participant roster, and upon acceptance, the presenter joins the green room and a private chat. As a presenter, they can share content and interact with other participants.

Town hall organizers and presenters can join as attendees
Organizers and presenters can now view the event as an attendee, allowing them to address issues and enhance the experience. Certain features like Q&A will be disabled for them to ensure the broader attendee experience remains unaffected, resulting in more polished and memorable events.

Town hall usage reports in the Teams admin center (TAC)
Town hall usage reports in the Teams Admin Center (TAC) provide organizers with insights into event performance, including attendee engagement and participation metrics, enabling them to identify areas for improvement and enhance future events.

Notification management for town halls and webinars
Organizers can manage notifications to presenters and attendees to reduce email clutter, with changes to key event details triggering updates only for affected individuals. Current email notifications stay the same for all involved parties.

Copilot summary for transferred calls in Teams Phone
Copilot intelligence is now integrated into call flows. This feature will automatically generate a summary of a call, allow for edits, then enable users to send a call summary to a transfer target before transferring the call. That means smoother handoffs, no lost context and no need for a pre-transfer consult.

Ability to set new ringtones in mobile
Teams now allows users to select from multiple ringtones on mobile, creating a personalized call experience and helping to distinguish between different call types, such as loud ringtones for factory workers and distinct tones for forwarded calls in office settings.

GCC/ DoD
- New Microsoft Teams Chat and channels experience in GCC: The new chat and channels experience is now available for GCC users.
- Meeting notes powered by Loop now available for Microsoft 365 GCC High and DoD: Teams Notes and Loop components are now available in Microsoft 365 GCC High and DoD environments, enabling real-time collaboration in chats and meetings.
- Meeting inherits label from shared files – GCC [Premium]: Now available for GCC users, Microsoft 365 E5 and Teams Premium customers can now leverage sensitivity labels from Microsoft Purview Information Protection to help set the right data protection settings in meetings.

- Publish from Viva Amplify to Engage: Share important news with frontline teams more easily. Campaign members can publish directly from Viva Amplify to Engage Storyline and Communities.
OneDrive
Add to OneDrive & shortcut enhancements
Microsoft is enhancing the OneDrive shortcut experience to promote a shift from traditional sync methods, featuring improved performance, reduced metadata syncing, and unified access across devices, along with clearer naming conventions, desktop notifications, and easier navigation, urging users to adopt shortcuts for better efficiency.

Improved Shortcut Management and Cleanup
Users can manage and remove shortcuts through desktop notifications and cleanup processes. OneDrive prompts users when replacing sync relationships with shortcuts, but previous sync local copies need to be manually deleted. Microsoft suggests hiding the sync button to promote shortcut adoption and is developing tools for this transition.
