Microsoft 365 monthly update – July 2025

Take a look back at all the updates and new features across Microsoft 365 for July 2025…

The Microsoft 365 monthly update includes updates and recently released features across Microsoft 365. The free version includes updates to SharePoint, Teams and OneDrive, whilst subscribers get all of the updates, plus Power Platform, Copilot and more.

SharePoint

SharePoint eSignature now globally available (excluding China, Indonesia, and Türkiye)

Microsoft’s native eSignature service for SharePoint enables users to request simple electronic signatures directly from Word and PDF documents stored in SharePoint. This feature ensures documents remain within Microsoft’s trusted boundaries, enhancing security and compliance. This capability is now expanding to all Microsoft 365 markets, except China, Indonesia, and Türkiye.

Updates to SharePoint video sharing

SharePoint now auto-generates secure sharing links for videos on pages or news posts, improving accessibility for users without site access. Users will see new dialogs when adding videos to SharePoint pages or news posts: they can choose “Don’t copy,” which leaves the video in its original location and only users with existing permissions can view it; “Copy,” which copies the video to the site asset folder and creates a sharing link; “Don’t create,” which means no sharing link is created and access remains restricted to users with existing permissions; or “Create link,” which generates a sharing link allowing anyone in the organization to view the video.

Time to read on SharePoint News posts

SharePoint will introduce an estimated read time feature for News posts in June 2025, available by default on the web and in the Microsoft Viva Connections app within Teams. This feature will help users manage their time and engagement, with no admin action required.

Enhancing SharePoint document translation with glossary feature

Microsoft have announced the addition of a glossary capability to our SharePoint AI content document translation model. This feature delivers precise, industry-specific translations, fostering unparalleled clarity and consistency for your documents. Experience effortless integration and user-friendly operation within your existing SharePoint libraries.

SharePoint site content & policy comparison using AI

Secure sites by identifying those with similar files, allowing admins to compare contents and settings across all sites. The report shows the percentage of content similarity and helps admins manage similar settings and policies efficiently using AI. This feature is available either with a Microsoft 365 Copilot license, or as part of SharePoint Advanced Management.

Auto-run Data Access Governance (DAG) reports in SharePoint

As data growth leads to increased sprawl and oversharing of SharePoint sites, organizations require assistance in governing their data. Data access governance reports aid in identifying overshared or sensitive content, allowing for the implementation of security and compliance policies. Additionally, these reports can now be scheduled to run automatically every 28 days, with notifications upon completion of the auto-run.

Microsoft Syntex – Update to Microsoft Syntex translation

The document translation service lets users quickly create translated copies while keeping the original format. Microsoft are updating it to support translations in up to 10 languages with one request, available for both manual and rule-based requests.

Teams

Copilot accessible from the Teams Chat list

To improve accessibility, Microsoft 365 Copilot Chat will be available directly in Teams Chat for all users, with its location pinned at the top of the Chat list. This update facilitates navigation and makes Copilot easier to discover, allowing users to access it quickly in their conversations.

Trigger workflows using emoji reactions

Microsoft is introducing a feature that allows emoji reactions to trigger workflows, helping to streamline processes and improve response times. For instance, emoji reactions can automate tasks like forwarding requests, enhancing DevOps actions, incident response, and team collaboration through the Microsoft Teams Workflows app.

Emoji search

Emojis help users express themselves, connect with colleagues, and strengthen team’s culture. Now, finding the right emoji at the right time has got easier. Type a keyword into the emoji search bar in the emoji menu to see related standard and custom emoji from the full collection.

Customize notification size 

You can now change the size of your Teams notifications. In settings, select either the compact or comfy option to take up less space on your screen and suit your work preferences.

Interpreter now generally available

Interpreter is a new tool for effortless multilingual communication, now available to allow users to speak and listen in their preferred languages with real-time speech-to-speech interpretation. It facilitates global team collaboration by eliminating language barriers during meetings, supporting nine languages including English, Spanish, and Japanese, and is accessible on desktop, web, and mobile platforms. Each user with a Microsoft 365 Copilot license receives two hours of monthly interpretation, with potential extra charges for additional usage.

Sign Language Mode

Microsoft is enhancing the Teams experience for sign language users with a feature called Sign Language Mode, which utilizes a new detection model to equalize the presence of D/HH participants. This update includes self-identification for Deaf and hard-of-hearing participants and interpreters, improved video quality, updates to Sign Language View, automatic elevation of signers as active speakers, and better visibility of interpreters in meetings.

Slide Control for Presenters

Meeting or event presenters can now share control of slides with fellow presenters eliminating manual slide changes and maintaining a smooth flow during meetings or webinars.

Polls support in Teams Town hall [Premium]

Town Hall Organizers will be able to create and share multiple-choice questions, quizzes and interactive polls, gathering real-time feedback from participants. This feature is available for town hall organizers that have a Teams Premium license.

Search with apps and agents personalized suggestions

The search functionality in Teams has improved, now including dynamic suggestions for apps and agents alongside teammates. For instance, typing “Fac” will display “Facilitator agent” among other relevant results.

Share agents and apps from app bar via right click

You can now easily share apps directly from their icons during 1:1 chat by selecting the “Share” option or right-clicking after clicking the “+Apps” icon. This update streamlines the process for Teams users by eliminating the need to manually select and share app links.

GCC/ DoD

  • New Microsoft Teams Chat and channels experience in GCC: The new chat and channels experience is now available for GCC users.
  • Meeting notes powered by Loop now available for Microsoft 365 GCC High and DoD: Teams Notes and Loop components are now available in Microsoft 365 GCC High and DoD environments, enabling real-time collaboration in chats and meetings. 
  • Meeting inherits label from shared files – GCC [Premium]: Now available for GCC users, Microsoft 365 E5 and Teams Premium customers can now leverage sensitivity labels from Microsoft Purview Information Protection to help set the right data protection settings in meetings.

Use Copilot during Teams calls without turning on transcription or recording

Now users can use Copilot during Teams calls without saving transcripts or audio recordings. When enabled by an admin, users can activate Copilot to manage administrative tasks, like noting key points and next steps, during private conversations. This requires Microsoft 365 Copilot and Teams Phone licenses.

Suggested prompts for Copilot on Teams Phone devices

Copilot is now available on Teams Phone devices, enabling users to generate meeting notes and summarize action items during calls by tapping suggested prompts. This feature requires Microsoft 365 Copilot and Teams Phone licenses.

Suggested contacts for call transfers from Teams Phone devices

Call transfers from Teams Phone devices are now more efficient, allowing users to quickly select suggested contacts based on context and communication patterns, reducing the steps needed for a transfer. Licensing for Teams Phone is required.

Set custom ringtones for assigned line keys on Teams Phone devices

Personalize your experience on Teams Phone devices by setting unique ringtones and choosing how each assigned line key alerts you: ring only, ring with flash, or flash only. This feature is supported across touch, non-touch, and sidecar devices, giving you full control over how you stay notified. Requires users to be licensed for Teams Phone.

Real-time text supported on Teams Phone devices

Real-time text (RTT) messages can now be viewed on Teams Phone devices. If users wish to send RTT messages, they will need to join the meeting with their laptop/mobile as a companion device. Requires users to be licensed for Teams Phone.

Set up call priorities for call queues

Call priorities for call queues in Teams allow you to set the order in which calls are routed to agents within a call queue. This functionality is useful for ensuring that high-priority calls are answered first, while lower-priority calls are held in a queue until an agent becomes available. Auto attendant and call queue capabilities require a Teams Phone license.

Default enable transcription policy for new tenants

The default policy for Transcription has been updated from “off” to “on” for any new tenant. This change doesn’t mean that every meeting will automatically have transcription enabled, but it will allow users to turn on transcription if needed. This adjustment aligns the default Transcription policy with that of Recording, supporting broader adoption of Transcription and all AI features.

Education

  • New Microsoft Teams Chat and channels experience in Education: The new, streamlined chat and channels experience is now available for Education. The updated experience makes it easier to stay on top of what matters most and organize your digital workspace. Catch up on chat, channels and teams in one place, create custom sections to organize conversations by topics, use filters to triage messages and more. This is an optional opt-in experience.

Frontline Workers

  • Enterprise News Reader: The new SharePoint News experience recommends content from sites users follow and frequently visit. Permission-filtered news appears with organization announcements prioritized at the top. Frontline workers can like and save items to share interests and revisit important news when convenient.
  • Viva Engage Moderation Agent: Theme Moderation in Viva Engage: Theme Moderation in Viva Engage will help network admins and corporate communicators moderate conversations at scale.  Theme monitoring utilizes AI to process the data in threads across your network and builds on recently announced advanced moderation capabilities, including enhancements to keyword monitoring.  With this new tool, admins can simply add new themes to moderate and will deploy moderation across all new activities or conversations mentioning that theme.
  • Engage Communication Dashboard: Corporate communicators now have a powerful new command center in Viva Engage. With the redesigned Communications Dashboard, they can seamlessly manage campaigns, analyze performance, oversee leaders and audiences, and access delegate and community tools—all from one intuitive hub. This update also introduces a unified view of all featured conversations, complete with dates, making it easier to track engagement across initiatives.

Sync admin reports – bulk data export

Use the OneDrive sync health dashboard in the Microsoft 365 Apps Admin Center to get an executive summary of everything happening with OneDrive so that you can resolve common issues quickly and focus on other strategic tasks as an administrator.. This new feature introduces support for bulk export of device status, including username, sync app version, known folders, last sync date, and sync errors.

View PDFs with Purview Information Protection sensitivity labels on OneDrive Web

With this capability, OneDrive users can open PDF files that are protected with Microsoft Purview Information Protection sensitivity labels and read them using OneDrive web in read-only mode. Only authorized users will be able to access these PDF files.
