Microsoft 365 monthly update – May 2025

Take a look back at all the updates and new features across Microsoft 365 for April 2025…

The Microsoft 365 monthly update includes updates and recently recent features across Microsoft 365. The free version includes updates to SharePoint, Teams and OneDrive, whilst subscribers get all of the updates, plus Power Platform, Copilot and more.

SharePoint

Copilot customers now have SharePoint Advanced Management capabilities

Microsoft 365 Copilot customers can now access SharePoint Advanced Management as part of their licenses, requiring a Microsoft 365 Copilot license. Admins are advised to utilize the oversharing baseline report via SharePoint Online PowerShell and implement suggested actions. In the SharePoint admin center, the SharePoint Advanced Management page will display this message: “Your SharePoint Advanced Management subscription is now enabled:”

New Template gallery and 50+ out-of-the-box page templates

A new series of Modern SharePoint page templates will simplify content creation and improve visual consistency through a centralized Template gallery, offering over 50 new templates for high-quality, on-brand pages and providing a dedicated experience for users.

  • Leverage 50+ new OOB templates that are aesthetically pleasing, professionally designed, and easy to use—ideal for common scenarios such as status updates, event announcements, team introductions, and more.
  • Access both Saved on this site (templates created by customer on this site) and From Microsoft (OOB templates provided by Microsoft) in one centralized location: the new Template gallery.
  • Browse and preview templates with ease before applying them to new pages.

Updated Page Analytics

SharePoint Page Analytics will receive an upgrade in late May 2025, introducing long-term data, distribution channel breakdowns, new metrics, export options, audience calculation, and a redesigned page. Users with a license for Microsoft Viva Suite or Microsoft Viva Employee Communications and Communities will access the new features, while others will retain the current metrics and charts in Page Analytics with a modern design.

Use the table of contents in a PDF to navigate in SharePoint/ OneDrive

SharePoint and OneDrive users will be able to display a table of contents if a PDF already has one. Users can select an item in the table of contents to jump directly to the location of that item in the PDF. This feature will roll out from mid-June to early July 2025 and will be enabled by default.

Apply watermark to PDFs in SharePoint/ OneDrive

Starting mid-June 2025, SharePoint/ OneDrive will soon let users add text or images as watermarks to PDF documents. Users can place the watermark in front of their content and choose the desired location and angle for the watermark.

Enabling a new Public Content Delivery Network (CDN) domain

SharePoint Online will transition to the Microsoft Azure Front Door CDN service from June to July 2025. Organizations need to add the domain public-cdn.sharepointonline.com to their allow list and should not hardcode CDN URLs while still permitting the old domain. To ensure your SharePoint Online (SPO) sites and pages are fully prepared, please review these guidelines:

  • Add the new domain to your network allow list: If you enable domain-based allow lists in your network configurations, please ensure that the new domain public-cdn.sharepointonline.com is also included.
  • Avoid hardcoding CDN URLs: To ensure seamless integration and for future proofing, please refrain from hardcoding the CDN URLs in your applications and scripts.
  • Do not block the old domain: The old CDN domain publiccdn.sharepointonline.com is still in use. Please continue to allow access to the existing CDN domain until further notification from us.

Restricted access control enhancements in SharePoint

Restricted access control (RAC) is a premium security feature allowing admins to limit access to SharePoint and OneDrive resources to designated users via Microsoft 365 or Entra Security groups. Upcoming updates will include insights reports for assessing RAC’s impact, enhanced policy configuration options, and expanded visibility of policy enforcement for Site owners in SharePoint.

SharePoint agents trial usage data now available in Admin Center

Admins can view trial usage data for SharePoint Agents in the Copilot Admin Center, accessible to all qualifying tenants, with month-over-month usage and PowerShell access. From the Copilot Admin Center, Admins can now view month over month tenant wide usage, in addition to seeing the usage data via PowerShell.

Dynamic rules for Microsoft 365 Backup

In April 2025, a dynamic rules option for creating backup policies for OneDrive, SharePoint, and Exchange Online was introduced, automatically basing policies on distribution lists and security groups to reduce manual effort; this feature is on by default, requiring no additional configuration, but it is important to review existing lists and groups for accuracy.

SharePoint Alerts retirement

Microsoft is retiring the SharePoint Alerts feature to modernize notifications. Key dates include the gradual phase-out starting July 2025, with complete removal by July 2026. If your organization still uses SharePoint Alerts, they will no longer function from July 2026 onwards. We recommend customers to port their SharePoint Alerts to the Power Automate platform or alternatively create a SharePoint Rule.

From September 2025The creation of new SharePoint Alerts will be gradually turned off for all tenants.
From October 2025The SharePoint Alert expiration feature will be gradually activated. Once activated, any SharePoint Alert will have a validity of 30 days starting from its first run, then it will expire. Users can self-service re-enable expired SharePoint Alerts and extend their expiration for another 30 days. Re-enabling and extending SharePoint Alerts can be done by using the Manage my alerts list/library menu item, opening the SharePoint Alert to update, extending its expiration date and clicking OK.
From July 2026Microsoft will remove the ability to use SharePoint Alerts; existing SharePoint Alerts cannot be extended anymore and will not work anymore.

SharePoint Framework domain isolated web parts retirement

SharePoint Framework domain isolated web parts will retire on April 2, 2026. New tenants will lose access starting April 2, 2025. Organizations using these web parts should update and redeploy them as regular web parts. Verify usage and follow steps on the provided retirement page. No extensions will be granted.

Microsoft Lists: Mobile apps for iOS and Android will retire

Microsoft is retiring the Lists mobile apps for iOS and Android, advising users to switch to the mobile browser experience for better functionality. Existing user data will remain intact and accessible through Microsoft Lists on desktop or mobile browser. Users can access Lists by visiting their SharePoint root site and navigating through the Microsoft Suite icon; if not visible, they can select More apps to find Lists.

Teams

New chat and channels experience

The new chat and channels experience enhances collaboration by being user-friendly and customizable, allowing you to manage information and conversations with ease through filters and organized sections.

Resize Teams windows and panes

Teams now offers more options to arrange your Teams app window across your screen real estate, allowing you to keep your communication in context, tailoring it to your needs:

  • Resize Teams app: use Windows 11 Snap layouts to multitask efficiently by snapping the Teams app alongside other applications.
  • Resize Teams panes: adjust the size of Teams panes to focus on what’s important. Hover over the edges of the chat, channels, meetings, or activity panes to resize them.
  • Zoom levels: Teams provides zoom options for better visibility, allowing you to adjust the size of text, icons, and controls without losing functionality.

Share a file (forward) in chat

You can now directly share a file from chat or channel conversations to other chats or channels, making sharing easier with fewer clicks. To share a file, select the file’s ‘share’ icon. You can add additional content to the message to provide context and clarity for the recipient. You can share in 1:1 chats, group chats, or channels.

Search keywords for standard emojis

Emoji and reaction search is now more intuitive than ever! Users can search any terms related to the emoji they’re looking for to find related results across thousands of standard emoji.

Customize your keyboard to match shortcuts from other apps

Keyboard shortcuts enhance efficiency in Teams, allowing you to use familiar shortcuts from other applications. Access this feature via the ellipsis in the top bar, then select shortcuts from other apps in the dropdown menu.

Improvements in code block sharing

Over the past year, code blocks sharing has been enhanced. When you type or paste code, it defaults to your last-used language, allows quick creation with shortcuts or slash commands, and support seamless copy-paste. Improved readability with fixed sizing, scrolling, and word wrap ensures a better viewing experience, along with expanded support for more programming languages.

Name pronunciation

You can now record and share the correct pronunciation of your name, fostering inclusivity and ensuring colleagues pronounce names accurately. Simply open your profile card to make a recording. This recording will be accessible on your profile card to individuals at your workplace or school using Microsoft 365. With a single click, you can listen to your colleagues’ name pronunciations.

Seamless Agent experiences on Teams mobile (iOS & Android)

Microsoft have improved the agent acquisition and interaction process on Teams mobile, allowing users to access AI assistance seamlessly from chats, channels, meetings, or apps without disrupting their workflow. Mobile agents offer contextual suggestions, real-time replies, and compliance features while being easy to implement through the Teams extensibility framework, enhancing user engagement during various activities.

Enhanced GitHub app for Teams

Microsoft have announced an enhanced GitHub app for Teams. The app is now faster, more intuitive, and includes new features. Enjoy improved notification cards, streamlined actions with slash commands, and organized PR conversations.

Real-time text available in Teams meetings and calls

Real-time text (RTT) in Microsoft Teams is an accessibility feature that allows instant character-by-character text transmission as it’s typed, enhancing conversation flow for users who are deaf, hard of hearing, or have disabilities. RTT integrates with Live Captions during 1:1 calls and meetings, facilitating mixed-modality interactions without needing to switch interfaces. Available on desktop, web, and mobile (iOS and Android), RTT promotes inclusive communication by reducing cognitive load and maintaining conversational continuity.

Control shared content in ‘Manage what attendees see’ before sending it live

The “Manage what attendees see” feature enhances meetings, town halls, and webinars by allowing organizers to control the attendee view and visibility of shared content, ensuring smooth transitions and preventing unintentional screen sharing.

Detect sensitive content while screen sharing [Premium]

When enabled by meeting organizers, Teams will proactively analyze onscreen content and alert meeting organizers, co-organizers, and presenters if the presenter shares sensitive information such as bank information, credit card numbers, etc., on the screen. This helps to limit the exposure of the presenting organization and adds a layer of security to meetings and events.

GCC/ DoD

  • Teams Webinar (DoD): Teams Webinars are now available for the Department of Defense (DoD) cloud.
  • Real-time mic volume indicator for Teams meetings (DoD): This feature provides visual feedback on audio levels, eliminating the need to ask, “Can you hear me?” It enhances confidence and reduces interruptions for smoother communication.
  • Microsoft Teams: Admin control on In-meeting only chat (DoD): This feature lets you manage chat duration in meetings from the Teams Admin Center. When enabled, messages can be sent only while the meeting is ongoing.
  • Cross cloud collaboration in VDI (DoD): This feature enables VDI users to join meetings across different Microsoft 365 clouds (e.g., GCCH users can join commercial, GCC, or DoD meetings) using authenticated access, guest accounts, or anonymously. Slimcore optimization is required since WebRTC doesn’t support cross-cloud meetings.
  • Delayed simultaneous ring for GCC-High and DoD Clouds: For teams sharing call duties, delayed simultaneous ring ensures calls go to the intended recipient first, reducing noise and distractions, especially for delegates and customer service teams.
  • Microsoft Teams: Meeting participants can edit their display name (GCC-H): Participants can change their display name during the meeting for more flexibility, and the change will last throughout the meeting.
  • GCC-H support in Teams Rooms Pro Management: GCC-H customer tenants can now use the Teams Rooms Pro Management service, which helps manage device lifecycles while ensuring high security and privacy standards.
  • Microsoft Teams: Occupancy status on Teams panels (GCC): Teams panels can now smartly utilize signals from Teams Rooms devices or occupancy sensors paired with panels to indicate when a room is in use (for example, LED glow), so you’re not surprised to find an available room is actually occupied.

Frontline Workers

  • Simplified UI for frontline: Frontline Workers now have a simpler experience with intuitive app names. The Connections app is now ‘Home’ with a new icon, enhancing clarity. The Engage app is pre-pinned for quick access to Communities.
  • Flexible membership extends to existing teams: Save time by linking frontline teams to the workforce management tool on the Manage frontline teams page. This syncs membership automatically with Microsoft Entra attributes, allowing frontline managers to easily add or remove members.

Audio overviews

With audio overviews, Copilot enhances files into dynamic listening experiences, allowing users to easily absorb insights on the go. Starting is simple through the OneDrive Copilot menu: select any Word document, PDF, or meeting transcript, and Copilot will quickly create an engaging audio overview. Users can enjoy hands-free insights via a floating, draggable player for playback control.
