SharePoint

Advanced tenant rename

For organizations going through rebranding, mergers, acquisitions, or consolidations, SharePoint Advanced Management now provides Advanced Tenant Rename. With this feature, organizations with up to 100,000 total sites can modify their domain name, giving them more control and the option to prioritize up to 4,000 sites for early execution within the rename. If you opt for Advanced Tenant Rename, all SharePoint Online and OneDrive for Business URLs will display the new domain name. Some workloads may require additional actions after the rename. If you’re not planning to rename, there won’t be any change.

SharePoint document libraries: Improved Version history controls (Preview)

Version storage controls allow you as admins to set an appropriate level of recoverability and auditability for your organization. And, based on strong customer feedback, Microsoft will release enhanced version storage controls so you can meet your needs efficiently and at scale. Microsoft are introducing new version controls that help admins and content owners reduce storage footprint driven by low value file versions. Previously, document library owners could set count-based version limits at the library level.

New Version history limit options to meet your organization’s recovery objectives and version storage targets. Set version limits to:

  • Automatically optimize version recovery and storage without estimating limits or Manually limit versions by count or version age.
  • Set default organization Version history limits on new document libraries and Microsoft OneDrive accounts for consistent version storage setting on all new libraries and OneDrive accounts created through the organization.
  • Set Site or Library level Version history limits to meet specific content needs by breaking inheritance from organization defaults.
  • Report on version storage use of a site or library by generating a CSV report to analyze current usage trends or impact analysis.
  • Delete versions from a site or library to reduce existing version storage footprint or align with new limits.

Updates to the file viewer for non-Office files in OneDrive and SharePoint

The enhanced file viewer for Microsoft 365 now offers a quick and easy way to view your files in OneDrive for the web and SharePoint in Microsoft 365. It’s now more useful and intuitive – with a new toolbar, new panes, and collaboration features. The new file viewer has a dark mode background, an updated command bar, and file navigation arrows positioned in the middle of the page.

SharePoint + Stream: New video page templates

Get ready to create video pages and news posts directly from the Stream web app. For the first time ever, you can create a page outside of SharePoint for videos stored on a SharePoint site. In the Stream web app, if you have editing access, you select the new ‘Create video news post’ button under the video’s Share dropdown menu. Then, review the new templates and select the page template you prefer.

SharePoint: New Section Level Content Align on pages

A new feature is coming to SharePoint that allows authors to align content across columns at the top, center, or bottom of a section. This option is available for 2-column and 3-column sections and will be rolled out worldwide from mid to late May 2024. These alignments can be found in your section properties for 2-column and 3-column sections. For single column sections, alignment options are unavailable since content will create the minimum amount of vertical space to house it by default, making additional configuration redundant.

Microsoft 365: Archive feature for inactive sites on SharePoint

Microsoft is launching an archive feature for SharePoint to store inactive sites, aiming to reduce storage costs. The feature will be accessible worldwide from late April to mid-May 2024, and can be managed by SharePoint and Global admins through the SharePoint admin center or PowerShell. Users can identify suitable inactive sites for archiving and will need to enable the Archive feature via the Microsoft 365 admin center once it’s released.

Microsoft Graph API for SharePoint pages is now generally available (GA)

Microsoft have announced the GA of the Microsoft Graph API for SharePoint pages, in all cloud instances. The new API allows developers to programmatically interact with SharePoint Pages and News posts, offering capabilities such as listing, getting, creating, editing, publishing, and deleting pages. With the v1.0 release, we are introducing a targeted scope of features based on comprehensive research, use case analysis, and product scoping. Which also means there is more to come beyond v1.

Teams

Teams

Share contact information of people in chat

Contact sharing in Microsoft Teams lets you quickly and easily share contact information with other people. This is useful when introducing or providing contact details to a colleague. You can now share the contact details of a person who is not part of a chat conversation. This will help you bring in new collaborators and make sure that everyone has the contact information they need.

Select domain for Teams email service

Administrators now have the option to use a different domain for sending Teams notification emails to their users. Admins can also choose to configure the no-reply prefix, if they would like to monitor responses from users.

Default service for uploading files using drag-and-drop

Administrators can choose which file service will be used by default when users upload files from their local devices by dragging and dropping them in a chat or channel. OneDrive and SharePoint are the existing defaults, but admins can now change it to a 3rd party file management service.

Improved copy link experience

When copying file links in Teams conversations, whether in chats or channels, and within the chat files tab, you will now have the same convenient one-click copy link experience as you do in OneDrive and SharePoint. You can also customize the link settings and permissions.

Copilot in Teams meetings on mobile after the meeting

In addition to accessing Copilot in Teams during a meeting on your mobile device, you can now access Copilot in Teams and ask questions about meetings after they end. Just tap a Teams calendar item to access Copilot in the meeting “Details” or “Recap” view. This is available for eligible meetings with transcription turned on and requires a Copilot for Microsoft 365 license.

New languages supported in intelligent meeting recap

AI-generated notes and AI-generated tasks in intelligent meeting recap are now available in 15 additional languages: Arabic, Czech, Danish, Dutch, Finnish, Hebrew, Hungarian, Korean, Norwegian (Bokmal), Polish, Portuguese (Portugal), Russian, Swedish, Thai, and Turkish. This will enable more people to have meetings in their chosen language and review the AI-generated notes and tasks later, so they can concentrate on the meeting itself rather than on taking notes. This functionality will start rolling out in May and will be available to Teams Premium and Copilot for M365 licensed users.

Meeting recap and artifacts automatically shared in chat after meeting

You will now receive a summary of everything that happened in a meeting inside the meeting chat right after the meeting ends. This includes a link to the recap page, transcript, recording, notes, shared files, Whiteboard, and meeting details. If you are licensed for intelligent meeting recap, you will also see highlights such as the number of speakers, number of personal name mentions, and number of AI-generated tasks. Intelligent meeting recap is available with a Teams Premium license or Copilot for Microsoft 365 license.

Save meeting content with collaborative annotations as a Whiteboard

Collaborative annotations let meeting presenters add drawings, notes, reactions, text highlights, and more on the screen being shared during a meeting. Now, screen sharers can save the annotated content to Whiteboard, so all meeting participants can access it later and continue working on it. To save your content with annotations to Whiteboard, you need the Teams desktop app on Windows or MacOS. When you share your screen in a Teams meeting, click “Annotate” in the presenter toolbar, and after making annotations, click “Capture a snapshot” in the annotations toolbar. This will add a snapshot in a Whiteboard file with all the annotations from the meeting.

Presenters can interact with background content when collaborative annotation enabled

Now, when meeting participants are annotating while screen-sharing, they can interact with the underlying shared content, like advance to the next slide or scroll down a document, and resume where they left off without restarting the annotations session. To enable this, click “Start interacting with background” in the annotations toolbar. This is now available in the Teams desktop app and Teams web app.

New avatar wardrobe options

Discover new avatar wardrobe options, more professional attire, and improved texture, fit, and color of clothes in the Avatar Builder.

Trim meeting recording in Microsoft Stream

Users with video edit permissions can now trim meeting recording videos in Microsoft Stream on SharePoint. Trimming lets you hide any part of a video from your viewers, without changing the original file. Open the recorded video of a meeting in the Stream web app and click the edit button. When you’re done trimming you can toggle to the preview mode to see the trimmed video before saving it. The meeting transcript and chapters will be updated automatically to match the trimmed video. Users with edit permissions can still see the full original content and edit or delete the trimmed parts.

HubSpot CRM integration with Teams Webinars

Microsoft has integrated Teams Webinar with HubSpot for B2B marketing automation, aiming to improve lead scoring and prioritization. This integration streamlines data import to HubSpot and enhances lead qualification with webinar engagement insights to drive revenue growth. Users can activate the integration by managing settings in the “Global Settings” tab for account-wide webinar settings or in “My Settings” for individual sync settings. Synced webinars will create marketing events in HubSpot and auto-log activity on contact pages.

Connect custom applications with Teams for client-based customer service calling experiences

Azure Communication Services Call Automation now offers interoperability with Microsoft Teams, allowing third-party contact center partners to streamline voice connectivity to Teams and empower their customer service agents. This interoperability enhances businesses’ ability to provide efficient customer service by integrating Microsoft Teams into their B2C calling workflows, increasing agent productivity and enabling them to deliver superior service. CCaaS providers can utilize VoIP to add Teams users to B2C customer service workflows, reducing telephony expenses. Voice calling usage for calling extensibility will be billed through Azure Communication Services, while agents and experts require a Teams Phone license.

Enabling call forwarding settings on Teams phone devices

Easily manage call forwarding settings directly from the phone device home screen on individual and common area phones. Admins can enable whether to show call forwarding options on the home screen on selected phone devices from the Teams admin center.

Busy-on-busy end user setting on Teams phone devices

Configure busy-on-busy settings directly from your Teams phone device and set your preference for how calls will be routed when you are busy in an existing call or meeting.

Redirect incoming calls to voicemail from an incoming call notification on Teams phone devices

You can now easily redirect an incoming call to voicemail without having to accept or reject the call when receiving calls on a Teams certified phone device.

Call on behalf of a Call Queue on Teams phone devices

You can now set your caller ID to make a call all on behalf of a number associated with a call queue or auto attendant directly from Teams phone devices.

Prompt Teams phone device users to set phone lock PIN through the Teams admin center

Admins can prompt their users to set reset the phone lock PIN on their device by enabling a configuration profile setting in the Teams admin center.

Change background while recording on phone

In chat and channels on Teams mobile, you can record a video clip with your phone camera and share it instantly. Now you can also blur the background or change it to any picture you choose, which is useful when you want to record a video of yourself and share it with coworkers.

Programmatic desktop sharing

Programmatic desktop sharing is a new feature that lets developers create Teams apps for meetings that can share specific app content on the screen. For example, if you use a poll app in a meeting, as a meeting presenter you can now show the poll results from the app in chat directly onto the meeting stage. This feature allows app developers to design meeting apps that can also display the content of their app or parts of it on the meeting stage for different purposes.

Live Share support for Chat, Channel, and Collaborative Stageview tab applications

Microsoft Teams applications that use Live Share for building real-time collaborative experiences can now work in different types of tabs, such as Chat, Channel, and Collaborative Stageview tabs on desktop and web. Live Share lets you and your team members watch, create, and edit content together in real time. All applications that have the Live Share permission in your tenant can use this new feature.

Open Teams app content in multi-window Stageview

With multi-window Stageview, developers can now build Teams apps that open content in multi-window experiences and unlock multi-tasking workflows for Teams users. This allows app users to engage with content and conversation side-by-side to get a more productive experience without giving away content focus.

Frontline workers/ Vertical solutions

These features currently available to Microsoft’s frontline worker customers and vertical solutions:

  • Import schedule from Excel in Shifts app – frontline managers importing a schedule from Excel into Shifts can now view the import history of their teams. This allows them to monitor the status and outcome of their import at any time.
  • Track usage of frontline teams and apps in the Teams admin center – Administrators can now track usage across all their frontline locations on a usage dashboard in the Teams admin center located in the Manage Frontline Teams tab. The dashboard will show a table with usage data for each frontline location on Microsoft Teams, and soon will include usage data for more frontline apps like Walkie Talkie, Shifts and Tasks. Admins can filter the table by locations and specify a date range for which they want to see usage data. The usage data can also be exported to a CSV file.
  • Task publishing: require approval for completed work – Task publishing includes new features that greatly improve worker visibility in tasks that are necessary and important, while helping frontline managers ensure that work is completed to satisfaction. Now, a frontline manager can make it mandatory to get approval for completed work. For more details, check out the new Planner: new task features for organizations with frontline workers.

Power Apps

Cross-tenant license recognition Power Apps using Dataverse (Public Preview)

Microsoft have announced the public preview of cross tenant license recognition for canvas and model driven apps using Dataverse. When end-users access an app outside of their home tenant, Power Apps recognizes use rights the user has in both their home tenant or in the resource tenant (where the app is hosted). This is an enhancement to the cross tenant license recognition that already existed for canvas apps not using Dataverse.

Owner team to Access team and reassigning team’s records conversion (Preview)

You can now convert owner team to access team and reassign team’s records to another user/team in Power Platform admin center.  Previously you can only perform these functions in the legacy Web application. Now you can perform these functions in Power Platform admin center. Admins can perform all Dataverse team management in a centralized location under the Environment/Settings/Users + Permissions\Teams area.

Environment Groups in Power Platform Admin Center (General Availability)

Microsoft has introduced Environment Groups in the Power Platform Admin Center, offering administrators the ability to organize and manage multiple environments more efficiently. This new capability aims to enhance governance, operational efficiency, and security oversight by allowing environments to be categorized into logical clusters. It is designed to support the management of complex enterprise-scale deployments and provide a robust framework for maintaining order as the number of environments grows.

Environment Routing for Power Platform (General Availability)

Environment Routing enables administrators to direct users to the most appropriate environment based on predefined criteria, ensuring a seamless and efficient user experience. The introduction of Environment Routing marks a milestone in our journey towards providing a more intuitive and agile platform. It allows for smarter distribution of resources and more granular control over user access, which is essential for organizations operating at scale. This feature simplifies the user journey and enhances productivity by intelligently guiding users to the right environment, right when they need it.

IP firewall support for TDS endpoint (Preview)

Currently, the IP firewall is set up to support only the Dataverse OData endpoint, which means that IP-based access restrictions do not apply to the TDS endpoint. This implies that customers are unable to set up IP-based access controls for the TDS endpoint. However, the recent introduction of IP firewall capabilities for the TDS endpoint now allows customers to apply IP restrictions, enhancing the security of their TDS endpoint access.

Field selection in canvas apps by Copilot

The field suggestion feature by Copilot in Power Apps helps makers choose the best fields to display in their app when binding a data source to a control. Instead of using default fields, up to 10 suggestions based on the data schema and app context are provided, allowing for review and adjustments, ultimately saving time and improving app quality.

Bypass business logic (Preview)

Bypass Business logic is useful for bulk data operations where you don’t want custom business logic to be applied, such as when you’re sure the data meets organizational requirements or when you plan to implement the logic by other means. Microsoft are introducing two optional parameters that developers can use during data operations :

  1. BypassBusinessLogicExecution: This parameter allows you to bypass synchronous logic, asynchronous logic, or both. 
  2. BypassBusinessLogicExecutionStepIds: With this parameter, you can pass a comma-separated list of plug-in step registrations to bypass only the specified plug-in steps. This provides more granular control over which business logic is bypassed.

Power Apps Canvas Modern Screen Templates (Wave 2)

The 2nd release of modern screen templates in Canvas studio will be available in North America starting on 6/17. This release includes the new “Header and form” and “Header and table” templates. Makers can insert these new screens using the same “+ New screen” entry point and connect to a data source within a few clicks! These templates contain only modern controls, are responsive by default, and can be inserted using copilot as well.

New mobile app launching improvements

Power Apps mobile is now updated with features to help frontline workers find their apps quickly:

  • Featured apps are surfaced in the bottom navigation bar so users can easily find admin-featured apps without having to search.
  • Users can directly share apps with colleagues by swiping right on an app and selecting ‘Share’.
  • A new bottom context menu enables users to use features like sharing, marking as startup, and pinning app to home.
  • Swipe left on the app and select ‘Set startup’ to set an app to immediately open whenever Power Apps mobile is launched, saving time in getting to the right app

Screens get optimized for iOS and Android automatically

When opting-in your app to be “Device optimized” (preview setting) your app gets better look and feel while gaining on performance and reliability on mobile devices. With this update, makers no longer need to enable individual screens. Power Apps will automatically activate screens where all controls are “Device optimized”.

Modern controls/ theming update

Modern controls are now much more customizable and have tons of new features available. Button control gets icon support and custom theming get new capabilities including classic compatibility. Three more controls are generally available now with more to follow soon.

Power Automate

Power Automate Visual for Power BI Reports now Generally Available

The Power Automate visual in Power BI has now reached General Availability. With the Power Automate visual, users can trigger flows by simply clicking a button right within their report, without the need to switch between tools. What’s more, the executed flow can be contextual, adapting dynamically based on the filters set by the end-user.

Generative AI Prompts to automate content processing

Microsoft have announced new AI Builder features in Power Automate that gives citizen developers advanced tools to incorporate content processing skills that leverage Generative AI. With these features, you can create Power Automate actions that will transform your business processes with the power of GPT-4, including:

  • Automate GPT Prompts with enterprise knowledge stored in Dataverse
  • Generate structured outputs with JSON formatting
  • Adjust GPT model temperature settings

May 2024 update of Power Automate for desktop

The May 2024 update of Power Automate for desktop (version 2.44) has been released! You can download the latest release here. This version of Power Automate for desktop includes a new Dataverse connector in preview.

Copilot in Microsoft Fabric is now generally available in the Power BI experience

Copilot in Fabric, now generally available, allows users to integrate, transform, prepare, and visualize data using simple conversational language. In the Power BI experience, Copilot can instantly create reports, identify relevant data elements, and add visuals that highlight insights based on a high-level prompt from the user, offering a fast and easy way to generate a report page.

On-premises data gateway May 2024 release

This update brings the on-premises data gateway up to date with the May 2024 release of Power BI Desktop. This version of the gateway will ensure that the reports that you publish to the Power BI Service and refresh via the gateway will go through the same query execution logic/run-time as in the May version of Power BI Desktop.

New ‘ExecutionMetrics’ event in Azure Log Analytics for Power BI Semantic Models

To enhance customer comprehension about the activities of the semantic model, a new event called ‘ExecutionMetrics’ is now generated for each DiscoverCommand, and Query request. This event provides useful execution metrics for the respective request such as:

  • Approximate memory and CPU consumption.
  • Number of rows processed for queries and refresh.
  • Time a request got delayed due to capacity throttling.
  • Time to establish a connection to data source.

Announcing live connect for Power BI report integration with OneDrive and SharePoint (Preview)

Microsoft have announced that you can now view Power BI reports in ODSP with data live connected to a semantic model in the service! This new feature will elevate your experience with the existing Power BI and One Drive and SharePoint integrations. With this integration, you can now:

  • View live connected Power BI reports in OneDrive and SharePoint without having to download the file.
  • Enhance and elevates teamwork by streamlining the collaboration process on live data reports.
  • Take advantage of the familiar OneDrive and SharePoint interface and features to manage your Power BI files, such as version history and report sharing.

Microsoft Purview AI Hub

Now in Public Preview, AI Hub in Microsoft Purview helps support your organization’s risk and compliance requirements for AI apps such as Copilot for Microsoft 365 and third-party apps and provides ready-to-use policies to protect data. In the AI Hub, you can gain visibility into insights like sensitive data shared with Copilot, total number of users interacting with Copilot, and their associated risk level.

Copilot extensions

Copilot extensions simplify the process of customizing Microsoft Copilot for specific business requirements, allowing the creation of new actions and custom knowledge through connectors, plugins, and personal copilots.

Admins will soon create Copilot extensions with Microsoft Graph connectors from Microsoft 365 admin center. This will allow users to perform specific searches, natural language queries, and custom communications on semantically indexed third-party data in Microsoft Graph using predefined prompts, all within the familiar Copilot for Microsoft 365 interface.

Restricted SharePoint Search

Restricted SharePoint Search for Copilot for Microsoft 365 is now generally available, allowing admins to review content management and data governance practices without disrupting Copilot deployment. Microsoft 365 admins can restrict search to a curated set of SharePoint sites, facilitating parallel review of site permissions during the Copilot rollout.

New Copilot connectors

Copilot Studio is introducing Copilot connectors to enable an enterprise to connect their business, collaboration, and analytical data to their copilots. Copilot connectors include Microsoft Power Platform connectors, Microsoft Graph connectors, and Power Query connectors—with Microsoft Fabric integrations coming soon.

Copilot in Viva Glint

Using Copilot in Viva Glint, leaders can get key insights instantly from the thousands of comments. This helps organizations save hundreds of hours spent manually analyzing the feedback. With Copilot, Viva Glint can summarize, explore, and act on suggestions with quicker time to action.

Copilot in Planner

Copilot in Planner helps teams transform the way they work and collaborate on projects together. With the power of generative AI, Copilot in Planner streamlines the planning, management, and execution of your work, keeping you informed as you achieve your goals:  

  • Get started with a plan – Copilot can take a natural language prompt and generate a plan for you, including goals, tasks and subtasks, and buckets. 
  • Manage your plan – As your plan evolves, Copilot can suggest new tasks for you based on your new goals and keep you organized with new buckets where needed. Copilot can even help you add goals to your plan and generate tasks to achieve those goals. 
  • Track progress – Copilot can answer questions about your plan and help you stay informed about the latest developments.

Visit Copilot Lab today to discover new prompt collections for HR and Marketing roles. You can also explore industry-specific prompts spanning across financial services, retail, and manufacturing. Draft with Copilot

Microsoft have added the ability to draft with Copilot based on a specific selection in your Word doc. This will help to:  

  • Enhance your content with statistics and additional information 
  • Refine, rewrite, or paraphrase an existing selection 
  • Elaborate on, expand upon, or explain your selected content in more detail

Copilot in Loop components

 Copilot in Loop components is rolling out now, so you can experience this collaboration without switching context. Simply start a Loop component in Teams, Outlook, or Collaborative Meeting Notes and use Copilot to create or update content in the Loop component. When you share the Loop component in other apps, your Copilot conversation carries over so you can continue refining your prompts until everyone is happy with the results.

Copilot in Forms

Copilot in Forms will now email response rates to a form’s owner and offer proactive recommendations for follow-up actions. For example, if the response rate is low, the form owner can use Copilot to quickly write and send reminders. Additionally, when a form has received sufficient responses, Copilot prompts the owner to review the form’s insights for informed decision-making.
