The Microsoft 365 monthly update includes updates and recently released features across Microsoft 365. The free version includes updates to SharePoint, Teams and OneDrive, whilst subscribers get all of the updates, plus Power Platform, Copilot and more.

SharePoint

Get site permissions for a given user in SharePoint

The SharePoint Advanced Management site permissions report provides an overview of user access to sites, files, and folders, detailing how access is granted. It aids administrators in evaluating security, managing permissions during role transitions, and verifying access prior to Copilot license assignments. Reports for specific users can be generated across SharePoint or OneDrive, viewed easily, and downloaded as detailed CSVs, including insights on site types, sensitivity labels, sharing settings, and item access counts.

Enterprise Application Insights for SharePoint sites

Enterprise Application Insights Reports are a part of SharePoint Advanced Management which allow administrators to monitor how non‑Microsoft applications interact with SharePoint and OneDrive content. These reports use audit log events—such as file access, upload, download, and modification—to help organisations understand app behaviour and protect their data. To use the feature, an organisation must hold eligible Microsoft 365 or Office 365 licences and have at least one user assigned a Microsoft 365 Copilot licence, which enables the necessary SharePoint Advanced Management capabilities for all SharePoint administrators.

Content Management Assessment (CMA) in SharePoint Advanced Management

Content Management Assessment in SharePoint Advanced Management offers administrators a streamlined way to evaluate and improve governance across their Microsoft 365 environment. It automatically scans for overshared content, inactive or ownerless sites, broken permission inheritance, and overly permissive sharing links, presenting clear findings and recommended actions. The feature supports recurring, one‑click assessments, helping organisations maintain compliance, strengthen Copilot readiness, and reduce the manual effort traditionally required for content governance.

Copilot actions in SharePoint document libraries

Now, when you select an item in OneDrive on the Web, the Copilot button appears, offering a range of actions you can perform on that item. The same feature and actions are coming to document library views in SharePoint and Teams.

eSignature for Microsoft 365

Microsoft is adding a new drawn electronic signature option to eSignature for Microsoft 365, allowing users to sign PDFs using a stylus, touch, or mouse. This enhancement provides a more natural signing experience alongside the existing typed signature option. The feature will roll out globally between mid‑March and mid‑May 2026 and will be enabled by default for all tenants. All users who sign PDFs using eSignature for Microsoft 365 will see this new capability, with no admin configuration or policy changes required.

eSignature – Free Text Field Support

SharePoint eSignature users are now able to add custom free text fields to their request documents. This new eSignature field can be used to request information (such as address, full name, etc.) from signers.

Migrate the Maps web part to Azure Maps

Microsoft are updating the Bing Maps web part in SharePoint to Azure Maps starting in early March 2026 and completing by mid‑April 2026. This change modernizes the underlying mapping platform, improves reliability, and aligns SharePoint with Microsoft’s long‑term mapping strategy. The update applies automatically and affects any organisation using the Maps (formerly Bing Maps) web part on modern SharePoint pages.

Most existing features such as place and address search will continue to work, but some capabilities are being removed including: Business Entity search, certain autosuggestions (Chinese, Japanese, Korean), and bird’s eye or street‑level imagery, which will fall back to standard road view. To prepare, admins should ensure atlas.microsoft.com is allow‑listed, verify network access, review pages that use the web part, and notify site owners.

Email customization now available in Site Lifecycle Management Policies

SharePoint now supports full customization of email notifications sent as part of Site Lifecycle Management (SLM) policies, including those for inactive sites, site ownership, and site attestation. Now generally available across all cloud environments, this feature allows administrators to tailor subject lines, body text, and guidance URLs so that messages to site owners are clearer and better aligned with internal governance standards.

Updated rollout timeline for dark themes

Dark themes will be rolling out through January 2026 as per a recent update from Microsoft.  Site owners and admins will be able to apply two new Microsoft-designed multi-color dark themes. These official themes offer modern dark color palettes with multiple colors combinations, enabling richer visual experiences and consistent branding across sites. Both themes are available out-of-the-box and can be configured via site settings.

Reminder: SharePoint Online will disable custom scripting by default on classic publishing sites

This is a reminder that starting September 15, 2025, SharePoint Online will disable custom scripting by default on classic publishing sites, block creation of new classic publishing sites, and prevent publishing feature activation. New settings allow site property bag updates without enabling custom scripting. Temporary opt-outs via PowerShell are available until March 15, 2026.

Reminder: Retirement of featured links on the SharePoint start page

The Featured Links feature on the SharePoint Start Page will be retired from March to June 2026 due to low use. Admins will lose access, and existing links will be removed. Alternatives include global navigation links and Viva Connections Resources. Organizations should plan and communicate this change.


Teams

Teams channels Shared tab

The Files tab in channels has been renamed the Shared tab. In addition to showing current files, the Shared tab also displays previously shared files and links that were shared in channel posts. You can use the Recent view to sort by date, then filter by Files or Links, and use the “In messages” view to find links that appear in conversations.

Message preview for channels, mentions, and reactions notifications

Microsoft are enhancing notifications by adding message previews for more types of notifications, including channels, mentions, and reactions. By surfacing message previews, users can quickly assess the importance of a notification without switching context and more efficiently prioritize responses.

Autocorrect in Teams compose

Autocorrect in Teams helps fix common spelling mistakes when typing in the compose box, so your messages stay clear and professional without extra effort. No need to backtrack to correct errors, Teams keeps your conversations flowing smoothly.

Pin Teams window on top

Teams now enables you to “Pin window on top”, ensuring it will remain visible above other windows. This reduces meeting and collaboration friction by enabling you to multitask across apps without losing real-time visual cues, shared content, or critical discussions.

Explicit consent for 1:1 call transcription and recording in Teams Phone

Microsoft is enhancing Teams’ explicit-consent process to include 1:1 VoIP calls, requiring consent before recording or transcribing. When a recording starts, the other participant is muted, and video and content sharing are disabled until consent is given. This is crucial for regulated environments, like financial advisory, where clear approval is necessary prior to recording. Currently, explicit consent applies only to 1:1 VoIP calls.

Teams Phone Mobile is now generally available with T-Mobile USA

Teams Phone Mobile enables end-users to make and receive calls using a single sim-enabled number across their mobile phone and all their Teams endpoints. T-Mobile customers in the United States can now enjoy seamless mobile and Teams integration with this unified calling experience.

Delayed simultaneous ring on Teams Phone devices

This capability addresses challenges for groups with shared call responsibilities and helps reduce distractions by prioritizing the intended recipient. If the call is not answered by the primary receiver first within a set time, the duration of which is customizable, then the call will start ringing other designated phones. It’s a smarter way to streamline call handling and ensure the intended person has the first opportunity to respond.

Configure line keys for phone devices from Teams admin center

Microsoft is enhancing flexibility in Teams Phone devices by allowing IT admins to centrally configure line keys for personalized one-touch dialing, including speed dial and shared lines, in the Teams admin center. This update simplifies standardization, speeds up deployments, and ensures users have essential shortcuts readily available.

Enhancements for Copilot summary for transferred calls in phone devices

Copilot’s summary for transferred calls provides an AI-generated overview of the call, enabling the receiving person to quickly grasp the earlier discussion. The latest update enhances context by showing a brief call topic in the incoming call notification, allowing users to understand the reason for the transfer more confidently, such as whether it pertains to account verification or a loan application.

Report a suspicious message on Teams for Android

You can now provide security feedback directly from the Teams Android app – whether you’re flagging a message as a security concern or confirming that a message Microsoft flagged is actually safe. This enhanced reporting flow helps your organization strengthen protection against phishing and other unwanted messages by capturing clearer, more actionable signals from real user behavior. In both cases, your feedback goes to your organization and, if admins choose, can also be shared with Microsoft’s detection systems to improve accuracy, reduce false positives, and better identify harmful content.

Screen & Window Sharing on Mac via Mac OS Native Picker

Mac users can now share their screen or specific windows using the standard native picker experience. By opting in through settings, users can enjoy a fully integrated sharing flow that leverages Mac OS’s default interface – ensuring a familiar, secure and streamlined experience.

Frontline worker

  • Frontline agent: The Frontline Agent, in public preview, is a tailored AI assistant that aids frontline teams by delivering concise responses relevant to their work. This agent allows workers to quickly access information from SharePoint sites, review missed Teams chats and channel messages, and manage action items efficiently at the start of their shifts. Available in Microsoft 365 Copilot and Microsoft Teams, it supports more efficient workflows.

OneDrive

Watermarks in File Previewer

OneDrive now supports adding watermarks directly within the file previewer experience. When opening a PDF in OneDrive, users can select Edit and apply a watermark to protect sensitive information or visually mark document status. This feature has been highly requested, and it is now fully rolled out for all customers.

Expanded Language Support for Audio Summaries

The Audio Summaries feature now supports additional languages, enabling users to listen to concise spoken summaries of their files in more locales. This enhancement makes it easier to consume content while commuting or multitasking and ensures broader global accessibility as the rollout progresses.

Copilot Actions in macOS Finder

Key OneDrive Copilot actions are now available directly within the macOS Finder. Users on Mac can initiate actions such as generating audio recordings, summarising files, or creating Q&A outputs—features previously limited to the web experience. This brings Copilot closer to native Mac workflows.

Year in Review (iOS First)

OneDrive’s new Year in Review experience compiles meaningful photo highlights from the previous year into a delightful, shareable story—similar in spirit to Spotify Wrapped. It groups major moments, shows stats such as photo‑heavy days, and surfaces memorable events. Initially available on iOS, it will expand to other platforms later.

Copilot‑Generated Narrative Titles for Photo Collections

For users with a Copilot Premium subscription, OneDrive can now generate narrative, context‑aware titles for curated photo memories. Instead of generic labels like January 21st Through the Years, collections receive personalised titles such as Leavenworth Garden Celebration or Snow Day Adventures, making them more meaningful and easier to recall.

AI Restyle for Photos (Artistic & Realistic Edits)

The new AI Restyle feature enables users to transform photos using various preset artistic styles—such as Glass Mosaic, Anime, or Movie Poster—or generate custom AI‑powered edits. This includes both creative transformations and realistic adjustments such as adding accessories or modifying visual elements, allowing users to create share‑ready, personalised artwork from their photos.

Blurry Photo Review & Cleanup Tools

A new photo‑cleanup feature helps users automatically identify and remove blurry photos, screenshots, receipts, and other low‑value images. By making clutter removal easy, OneDrive helps keep photo libraries focused on meaningful content and reduces storage waste.

Semantic Search for Photos

OneDrive is rolling out a new semantic search capability that lets users search photos using natural language queries rather than exact metadata matches. Searches such as “Eli kayaking,” “Eli with a blue hat,” or “Eli hiking in the mountains” return highly relevant images thanks to AI‑driven understanding of visual content. Facial recognition and people‑based grouping are also rolling out globally, with prioritisation for paid accounts and region‑specific consent flows.
