
The Microsoft 365 monthly update includes updates and recently recent features across Microsoft 365. The free version includes updates to SharePoint, Teams and OneDrive, whilst subscribers get all of the updates, plus Power Platform, Copilot and more.

SharePoint
Customize your sites with multi-color themes
SharePoint will soon enable site owners to apply multi-color themes through the Site branding feature or an organization’s brand center, with eight new default themes available starting in May and June 2025. The brand center app requires the use of a public content delivery network (CDN) available in the Worldwide environment. CDN is not available in the GCC, GCC High, or DoD environments.

SharePoint eSignature for Word
SharePoint eSignature lets users request eSignatures directly from Microsoft Word documents without needing to convert them to PDFs. Signers will sign a PDF version of the Word document, which stays secure within the Microsoft 365 Trust Boundary. The PDF is created automatically, and signers get a link to it without accessing the original Word file. Also, signers’ email addresses are not saved in the Word document. After signing, the signed PDF is saved in the same place as the original Word document.

New document library template: “Resume repository” for resume organization and hiring
You’ll find the “Resume repository” library template if you have pay-as-you-go billing services enabled. It features autofill columns for name, email, phone, college, and degree—essential aspects of a resume. Additionally, there are preconfigured choices and people-based columns to streamline hiring and interview coordination. This template will be available for SharePoint users to create and use on their sites.

Viva Connections cards in SharePoint agents
SharePoint agents will now bring Viva Connections cards to conversations. When a card is relevant for a specific topic, it will surface in the conversation chat, allowing users to interact with it directly from SharePoint agents without interrupting their flow.

Teams
Enhanced OneDrive navigation in Teams
Users can now easily return to the exact spot they left off in the OneDrive application while using Teams. This feature improves user experience by saving the last location for quick access to content, ensuring continuity and reducing time spent searching for files. By showing the last known state when users return, OneDrive makes navigation and access to content within the Teams desktop client more efficient, boosting productivity and collaboration.

Custom file download location for Mac
Mac users can now easily manage their file downloads by customizing the location where files are saved from Teams chats or channels. This helps eliminate the need to move files after downloading. To set this up, go to Settings and select Files. From there, you can choose a default download location and decide whether to be asked each time where to save files.

Improved Microsoft Lists links in Teams messages
Links to Lists and List forms in Teams will automatically expand for better visibility, making it easier to find and access these links in Teams messages and the ‘Shared’ tab of chats. The links also show details like title and path, helping users quickly identify specific List types and find relevant information.

Forward messages with app cards
You can now forward messages containing app cards in chats and channels. Previously, forwarding app cards was restricted, but now you can simply navigate to the “more actions menu of any message containing an app card, and select “Forward”.

Tag Mentions filter in Activity
To view all your tag mentions, select the tag mentions filter in your activity feed. The ‘@Mentions’ filter allows you to catch up quickly on personal mentions, while the ‘Tag mentions’ filter helps you catch up on the Tag mentions you are part of.

Increased drop zone for chats when uploading files
The drop zone in chat is now larger, making it easier to share local files easily. This update will soon be added to channels as well.

Admins can upload multiple themes for branded meetings [Premium]
Visual branding is important for creating a memorable experience. The right theme enhances your brand’s presence in various settings, like client meetings, internal discussions, or festive events. IT administrators can now create and upload up to five brand themes in the Teams admin center. Meeting organizers with this policy can choose from different brand themes when scheduling meetings, allowing for customization for each occasion. This feature requires a Teams Premium license.

Admins can disable ability to send messages in meeting chat before and after the meeting
Microsoft is enhancing the ‘Meeting chat’ control in the Teams admin center, allowing admins to manage who can send messages during and after meetings. They can choose the “In-meeting only” option to prevent participants from sending messages in the meeting chat before or after meetings organized by certain users in their tenant.

Information barriers moderated meetings
With this feature, organizations with information barrier policies can hold meetings with participants who have conflicting rules, as long as there is an approved moderator. Attendees will wait in the lobby until the moderator arrives, unless the moderator allows them to skip the lobby. This feature is perfect for regulated industries, ensuring compliance while allowing necessary communication.

Edit display name in meetings
Teams meeting participants will be able to edit their display name, enabling more flexibility in their meeting presence, regardless of their tenant set display name. Users can make this change during the meeting and it will persist only throughout the duration of the meeting.

Notification that intelligent recap is ready for calls from chat and ‘Meet now’ meetings
Notifications for Intelligent recap for calls and ‘Meet now’ meetings are now available. You will get a notification in your Teams Activity feed and on the banner when a meeting recap is ready. Clicking the notification in the Activity feed will take you to the recap. You can adjust the notification settings to control where you see notifications and which meetings have them enabled.

Set chat notification preference via meeting RSVP
Teams now helps you manage your notifications more effectively by integrating chat notifications with meeting RSVP status. If you decline a meeting, you won’t receive notifications or see the chat in your list, while accepting a meeting ensures you receive all relevant notifications.

Bi-directional calendar syncing between Google Workspace and Teams
Businesses using Google Workspace for email and calendars can now synchronize events with Teams through the Teams Admin app. This means events created in either platform will show up on both, making scheduling easier and reducing missed meetings. All calendar events—incoming, outgoing, existing, and new—are fully synchronized. This feature is currently available for Teams Essentials customers and will be available to all Teams customers soon.

DVR support in Town hall
Digital Video Recording (DVR) in town halls allows event attendees to interact with live streams just like recorded content when viewed on desktop or web. This makes it easier to follow along, letting viewers pause, rewind, or fast-forward, and go to specific timestamps. This feature is available for all town halls, regardless of the organizer’s license.

Post and reply to questions as an organizer
Town hall and webinar organizers now have the ability to post and reply to questions using the title “organizer” in the Q&A experience, instead of their individual names. This feature allows instance organizers to present a unified and official voice when responding to attendee questions.

Teams Phone extensibility for Microsoft Dynamics 365 Contact Center
Microsoft has introduced Teams Phone extensibility for Dynamics 365 Contact Center and certified ISV solutions, enabling customers to enhance their telephony investment with Teams Phone within the contact center. Starting this month in public preview, users can utilize Teams Phone as a unified solution for their UCaaS and CCaaS, simplifying telephony infrastructure management and billing. Future support for ISV solutions leveraging Azure Communication Services (ACS) will provide various options for integrating Teams Phone into preferred contact center applications.

Queues app: barge/whisper/monitor/takeover
The “Queues app: barge/whisper/monitor/takeover” feature in Teams Phone allows team leads and supervisors to effectively manage and coach agents. This is especially helpful for teams handling many inbound calls for internal or external customers, like IT help desks, where supervisors need to ensure agents follow proper procedures. This feature is included in the Queues app, which requires a Teams Premium license. This feature allows supervisors to:
- Monitor: Listen to the conversations agents are having with callers without being heard
- Whisper: Provide assistance to agents during a call without the caller hearing
- Barge: Join a call in-progress to assist both the agent and the caller
- Takeover: Remove an agent from a call and take over the conversation, if necessary

More seamless migration from on-premises Direct Routing phone numbers to online phone numbers
Teams now allows easier migration of on-premises synced Direct Routing (DR) phone numbers to online options like Direct Routing, Operator Connect, and Teams Calling Plans without unassigning numbers from users or resource accounts. This update lets administrators change on-premises DR numbers directly in the Teams admin center or PowerShell while keeping all assignment data safe. Operator Connect partners using the Transfer API can simplify migrations while maintaining user assignments.

Direct Routing Call Troubleshooting via SIP Ladder
Microsoft is launching a SIP Ladder diagram tool in the Teams admin center to help admins troubleshoot Direct Routing calls on their own. This feature will be found on the Usage reports page in the Teams admin center. It will allow admins to see SIP requests, responses, and related SDP data between the Microsoft Teams proxy and the SBC used for the call. The data will be accessible for calls made over 30 minutes and within the last 30 days.

Admins can choose adjust of meeting sensitivity based on the sensitivity level of shared files in Teams meetings [Premium]
Microsoft 365 E5 and Teams Premium customers can use sensitivity labels from Microsoft Purview Information Protection to manage data protection in meetings. Admins can opt for automatic label inheritance or receive label recommendations. When an attendee shares a file in meeting chat or via Live share that has a higher sensitivity than the meeting:
- If the admin has enabled the automatic label option, the meeting’s sensitivity will be updated automatically to match the sensitivity of the shared file.
- If the admin has enabled label recommendation, the organizer will receive a notification that recommends the organizer upgrade the meeting’s sensitivity to match the shared file.

Brand impersonation phishing protection for GCC, GCC-H and DoD
This feature first launched for commercial users in January, and now is available for the GCC, GCC-H, and DoD audiences. If an initial contact in a chat message with an external user is identified as potential spam or a phishing attempt, the user targeted will be notified. IT admins will also be notified that an external user is targeting their enterprise using brand-impersonation-based phishing attacks.

Background blur, virtual and user uploaded backgrounds the new VDI solution
With this new feature, users on the new VDI solution for Teams can blur their background, choose a Teams virtual background, or replace their background entirely with any image they want by uploading it through the “Video effects and Settings” option.

AVD Screen Capture Protection and Microsoft Teams compatibility
Users who have Screen Capture Protection (SCP) enabled to block screen capture on the remote desktop client (Block screen capture on client) can still share their screen and apps while using the new SlimCore-based optimization for Microsoft Teams.

Cross cloud support for the new optimizations for VDI
Users on the new optimizations for VDI can now access and interact with resources across different cloud environments. This includes enabling features like Cross Cloud Authentication, Management, and Guest Access, along with various improvements in user experience and functionality. VDI users can join optimized meetings with people in other Microsoft 365 cloud environments (e.g., a user in GCC-H joining a meeting in commercial, GCC, or DOD) through three options: authenticated access via cross-cloud meeting connection, authenticated access using a guest account, or anonymous access. These scenarios require Slimcore-based optimization.

Manage location sharing in Teams
Microsoft is changing its policies on sharing user location data to improve privacy and security and to meet new regulations. To make things clearer and give users more control, Teams will now include an app location consent feature. This lets users decide when and how Teams can access their location data (specifically SSID & BSSID). All new and existing Teams users on Windows, Mac, and Mobile will be asked whether they want location detection for emergency calls only or if they agree to allow location access for IT Admin Insights or troubleshooting.

Teams admin center updates for client updates/ health and remote contact management
Admins can monitor Teams client version adoption and access detailed information about device and user updates. This feature helps assess version health and provides insights into issues affecting automatic updates. It also allows tracking of Teams desktop client health on Windows and Mac, including metrics like crashes and launch failures. Additionally, IT admins can manage contacts remotely, pushing speed dial contacts from the Teams Admin Center to Android-based devices.

Frontline Workers
- Wired headset support to Walkie Talkie on iOS: Wired headsets are now supported in the Walkie Talkie app for iOS, providing greater flexibility and convenience for frontline workers.
- Storyline in Teams: Storyline provides a centralized place for corporate communications to foster better communication and alignment across the organization. It enables leaders to connect directly with their workforce through targeted posts, like sharing policy changes or celebrating company milestones.
- Engage in Teams mobile: The Engage app is now available on the Teams mobile app, delivering a full communities experience directly into Teams.
- Flexible membership for deploying Teams at scale: This new feature empowers IT admins to create location-based teams quickly while giving frontline managers the ability to make manual adjustments, like adding or removing an employee, as needed.
OneDrive
OneDrive: ask Copilot questions on meeting recordings
OneDrive will introduce Copilot for meeting recordings, providing actionable insights and immediate answers via Q&A. This feature will be available globally from late May to mid-June 2025. Users can recap meetings, generate notes, and highlight @mentions. No admin action is required; notify users and update documentation.
