Sharing frustrations over the new lists experience in SharePoint

This post discusses issues caused by the new Lists experience in SharePoint, including forms, UI, PowerApps, JSON formatting, editing, and more…

In this post we look at the myriad of issues the new lists experience in SharePoint is causing people, documenting what they are and signposting to any forums to raise awareness.

Intro

Way back in January 2024, Microsoft added MC709979 to the message center regarding updated Lists in Team Sites, Lists progressive web app (PWA), and Teams. The message states:

The update for Microsoft SharePoint Lists enhances performance and adds features like ratings, direct image uploads, real-time collaboration visibility, and view switching. Rollout begins in February 2024, with completion by June 2024. No preparation is needed, but informing users is suggested. Lists with certain configurations will not be updated yet.

No preparation is needed, famous last words right?

Starting in May 2024, the updated lists experience started appearing in tenants worldwide. I saw it myself at the end of May and at the time, didn’t think too much of it. Since then, there have been complaints about the new experience…and lot’s of them. So many issues are being raised, I have found it hard to keep track of them all.

So that is what inspired me to dig a little deeper myself into the issues, plus catalogue them here for future reference.

The issues

These issues I have found reported by others online, plus through my own research. Where possible, I will link to the original source that raised the issue:

  • New Item Form: The new item form no longer opens in the preview pane but instead as a popup – Microsoft answers
  • New UI in Customized Libraries: The new UI is not supported in customized libraries if the SharePoint Server Publishing feature and SharePoint Server Publishing Infrastructure feature are activated in the site collection – Microsoft answers
  • PowerApps Forms: Lists that have been configured with PowerApps forms are not seeing the Lists feature updates – Petri
  • Approvals: Lists that have been configured with Approvals are not seeing the Lists feature updates – Petri
  • Double Clicking on Items: Double clicking on items to open them no longer works on lists that are grouped by two or more columns – Microsoft tech community
  • Loss of JSON formatting: When users “Save As” a JSON-formatted view, essentially copying it within a list the new version does not retain any JSON formatting – Microsoft answers
  • Formatting not applying: JSON-formatting doesn’t appear to “take” on certain views. This could be a bug and has been recommended to be reported to Microsoft Online Support – Microsoft answers
  • Inline editing issues: Users have reported that inline edits for certain columns do not save in the grid view. For instance, the tick and cross do not appear to save/cancel edits. Also, when trying to update any of the JSON code, it appears to save but when you exit and go back in, changes appear to have been discarded – Microsoft tech community
  • CustomRowActions: Problems have been reported with a button in a column with customRowActions which updates the status of the job when complete – Microsoft tech community
  • SharePoint Framework Extensions: Lists that have been configured with SharePoint Framework extensions are not seeing the Lists feature updates – Petri
  • Views as tabs: Views now appear as tabs within the real estate of a list. Each view tabs across the list but is capped at 7 total views. The views are sorted alphabetically, so if you have any more than 7 views, they are hidden under an ellipsis menu. There is no way to change the order, or show/hide views like with columns
  • Inconsistency across tenants: I’ve tested the new lists UI in 3 different tenancies since it’s arrival last month. 2 of the tenants are behaving as expected, with the lists UI displaying for all SharePoint lists. However, in one tenancy the new UI flashes up for a second, then reverts back to the SharePoint lists UI
  • Filters missing columns: The column filters pane doesn’t show all columns, which requires you to manually add columns to the filters pane
  • Playlist Template: Lists that have been configured with the Playlist template are not seeing the Lists feature updates – Petri
  • Grid View Editing: Some users have reported issues with the grid view editing feature. For instance, a text box with random data keeps popping up in random places when it shouldn’t be – Microsoft answers
  • Grid View Loading: There have been reports of the grid view feature not working in different browsers and devices – Microsoft answers
  • Scrolling in Grid View: Users have reported that they can’t scroll the columns via the Quick Edit in the SharePoint list, except for the leftmost column – Microsoft answers

There is an open item in the SharePoint feedback portal about this, which can be voted on to try to garner attention to the above issues. Otherwise, if you come across any issues I’ve missed, leave a comment and ill add it in.

    Ever since the item view pane moved from the right-hand sidebar, to a pop-up window in the centre of the display, it has developed two frustrating habits.

    It often skips up or down the page, away from the field you selected to edit, so you have to find it again.
    When you select a field to edit, it deselects the field by the time you get your hand back on the keyboard or deselects the field as you’re typing! I have observed instances where it has taken four attempts to type in the field.

    If you are still taking new issues, you can add, if you setup form using the new ‘forms’ button in the list view, when the user completes the form they get taken to a ‘thanks for submitting the form’ page but there is no way to redirect them back to site where the list is located.

  3. Today is the second time in as many months this roll out has severely impacted the usability of existing SharePoint Power Apps forms. The first roll out appeared to be later rolled back to some extent but this one is so broken, with a popup that is much too small to display the app, that my customers can’t use it or are suffering from very poor user experience and I can’t give them a time to resolution or even if it will be resolved. This reckless botched rollout is costly for everyone and it just isn’t good enough.

    1. As of yesterday I am encountering the same issue with my SharePoint forms customized in Power Apps.

      On displays at a resolution of 1920×1080, my forms now require horizontal scrolling in order to see all of the fields. This was never an issue until the new list experience got pushed out. The only workaround I’ve been able to come up with is having users lower the zoom in their browser to 75%, but that’s not a good solution.

      On another display that has a resolution of 2560×1440, the form displays correctly and shows all fields without scrolling.

      Please let me know if you come up with anything. At this point I’m about ready to open a case with Microsoft.

  4. The new/view/edit item form is terrible for Power Apps customised forms. It now requires scrolling left and right to see the whole form, when previously in the preview pane it displayed full-width.

  5. This is dreadful. In my case the list won’t open the item edit dialog when there are more than 5K items – my list has 5237 and the only way to edit the properties is to switch to classic.

    Also, if you use look-up columns then any views which uses a lookup column just fails to render.

    Come on Microsoft, this is just not good enough. At least give us a switch to revert to the old modern UI until you get this mess sorted.

  6. I have a new one! Information Icon is completely gone, which also means the bulk edit functionality is gone.

  7. New lists changes in SharePoint Online frustration when using the Edit in Grid option. Form validations don’t apply to the overall row. The validation that includes multiple columns gets applied after the first field is entered causing an immediate error and requiring the user to update all fields first and then delete and re-add the entry for the original field.

  8. And one more. You can create a new list view that is uses the Gallery view, but if you switch to List or Compact list, there’s no option to switch back to Gallery view.
